Opportunity Automation

The Epic Opportunity Automation component streamlines the renewal process by allowing Administrators to automatically create renewal opportunities for expiring policies based on a specific set of criteria. This allows you to create opportunities based on how your agency manages renewals and how much lead time each renewal needs, depending on the complexity of the renewal.

Creating automations minimizes the administrative overhead for the end-user managing the renewal. Once an opportunity automatically generates, it populates in the associated Producer’s My Opportunities queue as many days ahead of expiration as set in the details of the query. This automation prevents Producers from needing to run a report or manually create an opportunity for renewals. Administrators can also configure default values to populate on opportunity records, resulting in faster submissions.

This article will walk you through accessing the Opportunity Automation page and automating and opportunity.

To access Opportunity Automation, do the following:

  1. Click the App Launcher icon in the top-left corner of any Salesforce page.
  2. The Apps window displays. Locate the Opportunity Automation object tab or enter it into the search bar.
  3. Click Opportunity Automation to open it.

Add an Opportunity Automation

  1. Click New.
  2. The Opportunity Automation component displays.
  3. Enter a Name for the automation. This name will help identify what policies will have opportunities automatically created.
  4. The Automation Type defaults as Renewal. This is the only Type currently supported.
  5. The Active checkbox defaults as selected. Deselecting it will prevent the automation from running immediately when you create it. This allows you to prepare an automation before you need it, so you can activate the automationwhen you do need it.
  6. In the Policy Search section, you can define the criteria for the policies and lines to which you want to apply the automation. Select any Policy/Line Types you want in the Available list, and click the right arrow to add those Types to the Selected list. To deselect a type, select it from the Selected list and click the left arrow.
  7. Select any Policy/Line Statuses you want in the Available list, and click the right arrow to add those Statuses to the Selected list. To deselect a status, select it from the Selected list and click the left arrow.
  8. The default number of Days Prior to Expiration that the opportunity generates is 30. Optionally, enter a different number of Days. If you leave this field blank, the automation only searches for opportunities on the day on which it is scheduled to run.
  9. Optionally, use the Premium Over and/or Premium Under fields to define a range of premium amounts.
  10. Select the Structure or Owner Type, Agency, and Branch from the picklists.
  11. Optionally, select the Department and Profit Center from the picklists.
  12. The Opportunity Settings allow you to set opportunity defaults for the any policy that falls within the policy search parameters. Setting these defaults also ensures that any opportunity created syncs to Applied Epic.
  13. In the Scheduling section, select the Frequency at which the automation will search for policies that fit the above criteria. If you select Daily/Weekly, you can also select specific day(s) of the week. If you select Monthly, you can select one specific day for each month.
  14. Select the Time of the day on which the automation will search for policies on the above selected day(s).

Note: Salesforce recommends that you stagger automation queries. You can schedule small numbers of automations to run on the same day and time, but please avoid doing so for numbers of queries nearing 40. Too many overlapping queries can cause some to fail.

  1. Click Save to save and create the opportunity automation, or click Cancel to discard it.

Edit an Opportunity Automation

  1. Click an opportunity automation to open its detail.
  2. Click Edit to edit the automation.
  3. Make any necessary changes. All information on the automation can be changed.
  4. Click Save to save your changes, or click Cancel to discard them.
