Certificate Roles
Certificate roles provide a layer of security by allowing you to assign
roles to insureds and contacts that determine certificate processing permissions.
Add a role for each combination of permissions you need. As you refine
these roles, you can reassign insureds and contacts from one role to another.
Once you have created certificate roles, apply the roles in Contact
Detail or Account Detail.
To access this area:
- From insured detail, click Home
> Configure > Certificate Roles on the options bar.
- From any other area of the program, click Home
> Configure > Certificate Roles on the options bar or
click Configure
> Certificate Roles in the navigation panel.
Add a Certificate Role
- Click Add
on the options bar.
- Enter a Name
and Description
for the role.
- Select the Default
checkbox if this should be the default certificate role.
- Select the checkboxes as needed.
- Allow Insured to Issue Certificates?
If the insured is not granted this permission, selecting the Issue a Certificate of Insurance
option available on the portal will display a Certificate of Insurance
Request form. Once the insured completes the form, an email notification
is sent to the CSR, who can then process the request.

Insured to Add New Holders? This option allows the
insured to add new holders.
- Allow
Insured to Edit Existing Holders? This option allows
the insured to edit holders.
- Allow
Insured to Copy Existing Holders? This option allows
the insured to copy holders.

Insured to Assign Holder Endorsements when Issuing a Certificate?
This allows the insured to select attachments uploaded by
your brokerage in the Attachments area to include when issuing
a certificate.

Insured to Add Holder Endorsements when Issuing a Certificate?
This allows the insured to upload attachments to include when
issuing a certificate.
- Allow Insured to Add Additional
Insured Name and Address Text on Certificates?

Insured to Edit Holder Desc. of Ops. When Issuing a Certificate?
Insureds who are granted this permission can modify the
Holder-level Description of Operations when issuing a certificate.
If Prevent Insured to Override
Text is also selected, the insured can select Descriptions
of Operations made available to this insured in the Library area
but cannot enter text manually.
Prevent Insured to Override Holder
Desc. of Ops Text? If the insured is permitted to edit
Descriptions of Operations but Prevent
Insured to Override Text? is also selected, the insured
can select Descriptions of Operations from the Library maintained
by the brokerage. However, the insured cannot enter text manually.
Note:
This checkbox is deactivated by default. You must select Allow Insured to Edit Desc. Of Ops.
When Issuing a Certificate? to grant the permission.
Allow Insured to Edit Holder Summary
and Print Control? This allows the insured to add
up to 100 characters of text in the Holder
Summary area.

Insured to Edit Holder Property/Nature of Interest When Issuing
a Certificate? Insureds granted this permission can edit
the Property/Nature of Interest
section while issuing a certificate from the Self-Service
Portal. When this permission is unselected, only the Property Information (Location/Description)
field is locked—the other fields in the section can be modified.
- Allow
Insured to Change Holder AI & Subr WVD Status When Issuing
a Certificate? This option applies only to ACORD 25 and
ACORD 30 certificate templates for which Enable
holder level AI & Subr WVD status is selected. See
Certificate Templates
for more information.
- Require
Insured to Enter Group Code When Adding Holder? This
makes Group Code
a required field when the insured adds a holder. If your organization
uses group codes to categorize holders, you should select this
option to maintain data consistency. Group codes are available
only if the feature has been activated.
- Enable
Fax for This Insured: This checkbox displays only if the
Faxing option and the
Insured Fax Disable option
have been activated. It enables you to restrict which insureds
are able to fax certificates and auto IDs from the CSR24 portal.
- Contact Can Only See Holders Assigned
to Their Location?
- Contact Can Only See Vehicles Assigned
to Their Location?
- Click Save
to create the role or Cancel
to exit the workflow without adding the role.
Edit a Certificate Role
- Click the certificate
role you want to update.
- Edit the Name
and Description
as needed.
- Select/Deselect the appropriate checkboxes.
- Click Save.
Reassign Roles
Use this feature to move users from one certificate role to another
en masse. This is helpful as you refine the roles in your system.
- Click Reassign
Roles on the options bar.
- Select the checkbox
for each role you want to move the users from.
- Click Start
Process on the options bar.
- Select the role to which to move the users in the Change Certificate Role To dropdown menu and click Continue.
- Review your selections to confirm the roles selected for the Reassignment.
If you want to delete one of the selected roles from the system, select
its Remove
checkbox.
- To complete the update, click Make
Changes on the options bar.
- Click OK
to verify the changes.
Delete a Certificate Role
- Click the certificate
role you want to delete.
- Click Delete
on the options bar.
Export Certificate Roles
Exporting certificate roles provides you with a list of insureds, the
role each insured is tied to, and the permissions associated to that role.
- Click Export
on the options bar.
- To view the certificate roles for
a specific insured, enter the
Insured Code. If you do not know the code, click the Lookup button.
- Enter part of the Name
or Code
and click Find.
- Click to select the desired insured.
- Select Active,
Inactive,
or All
for the account Status.
- Optionally select a Brokerage and Branch.
- Click Export
on the options bar.
- Open
or Save
the resulting file.
