System Settings - Policy

In this area, you can configure global settings pertaining to the Policy, Proofs, and Claims areas. Your selection for each setting applies to all users in the system; you cannot configure them on a per-user basis.

1. From the Home screen, do one of the following:

   • Click Configure on the navigation panel.
   • Click the down arrow next to Home on the menubar and select Configure.
   • Click Areas > Configure on the menubar.

From any other area of the program, do one of the following:

1. • Click the down arrow to the right of the Home options bar button and select Configure.
   • Click Home > Configure on the menubar. The Configure screen displays.

2. Click Policy on the navigation panel or Areas > Policy on the menubar.
3. Click System Settings on the navigation panel.

4. Click the item you want to configure in the System Settings list:

   • Application Detail Type

     You have the option to filter the Application Detail dropdown menus throughout the Policy Configuration area to display only application detail types that are applicable in your organization’s country of operation. This filtering provides users with a concise list of relevant options to assist them in configuring the system correctly.

     Any selection here affects the Application Detail options available in the following areas of Configure > Policy.

     • Additional Coverages
     • Document View
     • Prefills
     • Sources
     • Summary/Proposal Templates
     • Supplemental Screens
     • Types

     You can also determine whether a <None> option is available in the Application detail dropdowns. This option can be helpful for configuring items that do not have an associated Application detail (such as Custom Forms).

     1. All Application Detail Types are selected by default. To revise these selections, do one of the following
     • Click the Edit button to the left of the list.
     • Double click Application Detail Type.
     • Press [Enter] on your keyboard.
     2. Deselect the checkbox for each Application Detail Type that does not apply to your organization.
     3. Click Finish.
   • Commissionable Producer/Broker Requirement

     Select the Require at least one Pr/Br on Lines of Business checkbox to require at least one commissionable producer or broker on each line of business. When you enable this setting, users cannot complete an action that is likely to lead to billing on that line unless at least one producer or broker is entered on the Pr/Br Commissions tab in the Service/Billing section of the policy detail for the line of business.

   • Custom Forms/Supplemental Screens Default Text

     Custom forms and supplemental screens can include default text (text that is set to default into a particular field). When a policy that uses a custom screen is renewed or marketed, it is automatically updated to use the most recently installed version of that screen. However, you may not want to overwrite the values in text fields with the default text from the newest custom screen version, as this would eliminate any manual changes made to the default text on that particular policy.

     1. Do one of the following:
        • Click the Edit button to the left of the System Settings list.
        • Double click the setting.
        • Press [Enter] on your keyboard.
     2. Select a radio button:
        • Overwrite Renewed/Marketed policies with modified Default Text
        • Do not overwrite Renewed/Marketed policies with modified Default Text
     3. Click Finish.
   • Issue Cancellation

     Select the Notify user if issued certificates or evidences exist checkbox if you would like a notification to display when certificates or evidences have been issued on a proof of insurance for which a cancellation is being issued.

   • Loss Notice Print Remark Defaults

     If the Remarks section on a Loss Notice should print by default, check Default for “Print on form.” This means that the checkbox option to print the Remarks section on the form will default as selected when users perform this workflow in the Policies area. You may still uncheck the checkbox on an individual Loss Notice if you do not want to print the Remarks section on it.

   • Policy Line Status/Action Defaults

     This setting allows you to specify a default line status when issuing a cancellation, moving marketed policies to current policies, or renewing marketed policies.

     • Add a Default Line Status
       1. Do one of the following:
       • Click the Add button .
       • Press [Insert] on your keyboard.

       2. Make a selection in the When performing action dropdown menu.
       3. Choose a Line status.
       4. Make a selection in the default line status as dropdown menu. If your organization uses multiple statuses, leave this field blank to ensure that users make a deliberate selection.
       5. Click Add to add another status default.
          
          Click Finish if you have no more statuses to add.
          
          Click Cancel to close the window without adding the status.
     • Edit a Default Line Status
       1. Click to select the item you want to update and do one of the following:
          • Click the Edit button .
          • Double click the status.
          • Press [Enter] on your keyboard.
       2. Make a selection in the When performing action dropdown menu.
       3. Choose a Line status.
       4. Make a selection in the default line status as dropdown menu. If your organization uses multiple statuses, leave this field blank to ensure that users make a deliberate selection.
       5. Click Add to add another status default.
          
          Click Finish if you have no more statuses to add.
          
          Click Cancel to close the window without adding the status.
     • Delete a Default Line Status
       1. Click to select the item you want to delete and do one of the following:
          • Click the Delete button .
          • Press [Delete] on your keyboard.
       2. You are prompted, “Do you wish to delete this record?” Click Yes.
   • Policy List

     These settings enable you to establish default display settings for the Policies list for all users in the system.

     1. Do one of the following:
     • Click the Edit button  to the left of the Setting list.
     • Double click the setting.
     • Press [Enter] on your keyboard.
     2. Select the Default policy list as collapsed checkbox if you want the Policies list to default with all policy rows collapsed in the Current/Renewed, All Except Marketed, and Expired/History views.
        
        Selecting this checkbox enables the Allow user to override default checkbox. Select this checkbox to allow users to set their own defaults based on their preferences. The system remembers each user’s previous selection (either expanded or collapsed) the next time they access a client’s Policies list.
     3. In the Lapsed/Cancelled Policies frame, specify the number of days that lapsed and cancelled policies continue to display in the Policies - Current/Renewed list beyond their expiration and cancellation dates. You may enter any value between 0 and 999 in these fields.
     4. In the Default Service Summary Selection frame, specify how you want policies to open when they contain certain types of Service Summary rows.
        
        If you select multiple checkboxes and Service Summary rows of more than one of these types exist on a policy, the policy will open to the first Service Summary row listed, regardless of your selections. Package policies open to the detail of the line with the most recent valid Service Summary row (based on your checkbox selections).
        
        Optionally select one or more of these checkboxes:
     • Ignore future-dated rows: Open policies to the current, in-force Service Summary row, even if they contain future-dated Service Summary rows.
       
       If a policy’s current Service Summary row is dated later than the system date/time, the system treats it as a future policy and opens it to the most recent Service Summary row.
     • Ignore Not Applicable rows: Open policies to the current, in-force Service Summary row with a Stage other than Not Applicable.
     • Ignore Not Issued rows: Open policies to the current, in-force Service Summary row with a Stage other than Not Issued.
     • Ignore revoked MTA rows: Revoked MTA rows are specific to a U.K. policy servicing workflow. You may disregard this option, as it is not applicable to North American organizations.
     • Ignore temporary MTA rows: Temporary MTA rows are specific to a U.K. policy servicing workflow. You may disregard this option, as it is not applicable to North American organizations.
     • Ignore Lapsed Revoked rows: Lapsed Revoked rows are specific to a U.K. policy servicing workflow. You may disregard this option, as it is not applicable to North American organizations.
     5. Click Finish.
   • Pr/Br Commission Agreements

     This setting allows you to specify whether to use the prior term’s commission agreement when renewing a policy using the Renew action from the Policies list. Depending on your selection, the system can either remove the prior term’s commission agreement or use it on the renewal policy if it remains valid.

     1. Do one of the following:
     • Click the Edit button beside the Setting list.
     • Double click the setting.
     • Press [Enter] on your keyboard.
     2. Select a radio button:
     • Use the prior term’s commission agreement (if valid) upon renewal: Applies the prior term’s commission agreement to the renewal if it remains valid. If not, no commission agreement is applied.
     • Do not use the prior term’s commission agreement upon renewal: If the prior term had a manual commission, but only one valid commission exists the valid commission agreement is applied. If not no commission is applied.
     3. Click Finish.
   • Pr/Br Commission Schedule

     This setting allows users to set schedules for different commissions independent of a policy’s effective and expiration dates using the Pr/Br Commission Schedule on the Servicing/Billing tab. When the producer or broker on a policy changes, users can save time and reduce the possibility of error by scheduling all commission changes at once, without the need for continual manual adjustments. Select the checkbox for each type of business on which you want to allow producer/broker commission schedules. Click Finish to apply your changes.

   • Premium Proof Processing

     This setting allows you to set up Premium Proof Processing, which is designed for brokerages that use other software (e.g., Applied CSR24) as a premium certificate processing platform, rather than using certificates or evidences in Applied Epic. Premium Proof Processing redirects users to this software.

     Before enabling this option, ensure that the appropriate links have been added in Links Configuration. Review the Single Sign on to Applied CSR24 article.

     1. Do one of the following:
        • Click the Edit button next to the System Settings list.
        • Double click the setting.
        • Press [Enter] on your keyboard.
     2. Click the lookup button next to the Redirect to field in the Certificates or Evidences section.
     3. In the Add Links pop-up window, click to highlight the appropriate link and click Finish or press [Enter].
     4. Click Finish.
   • Proposal/Summary Header/Footer Settings

     You can determine whether document headers and footers are uniform when multiple templates are merged during the creation of a proposal or a summary of insurance.  

     1. Select the setting you want to modify:
     • Proposals – Marketed Policy
     • Proposals – Non-Marketed Policy
     • Summary of Insurance – Marketed Policy
     • Summary of Insurance – Non-Marketed Policy
     2. Do one of the following:
        • Click the Edit button next to the Setting list.
        • Double click the setting.
        • Press [Enter] on the keyboard.
     3. To apply the headers and footers from the first template listed to all subsequent documents by default, check Default for “Apply header(s) and footer(s) from the first template to all others.” This means that the checkbox option to apply headers and footers from the first template to all others will default as selected when users perform this workflow in the Policies area. If this option should default as unselected, leave this checkbox blank.
     4. If users should be able to modify the Apply header(s) and footer(s) from the first template to all others checkbox when generating a proposal or summary of insurance for policies of the selected type, check Allow users to override the default. If you do not select this option, the checkbox will be disabled in the Policy area.
     5. Click Finish to apply your changes or Cancel to discard them.
   • UK Claims - ABI Code List Downloads

     Select the UK Claims - ABI Codes List Downloads checkbox to retrieve and activate all ABI codes that display in the ABI Codes list in the Claim Code Configuration. If you deselect this checkbox, any ABI Codes that have already been retrieved will be inactivated in Claim Code Configuration.

   • Weighted Commission Calculation Type

     Premium-weighed commission calculations enable your organization to see how a insurer’s commission is divided among its plan offerings. You can apply that breakdown to commission fields on policies and lines. This setting allows you to specify which value to use when your organization calculates weighted commission amounts from a client’s policies or lines. Weighted commissions are only available for Benefits and Life & Health policies.

     1. Do one of the following:
     • Click the Edit button next to the Setting list.
     • Double click the setting.
     • Press [Enter] on the keyboard.
     2. Select a radio button:
     • Line estimated (Default selection): Calculates commissions based on the amount in the line’s Estimated commission field.
     • Line estimated monthly: Calculates commissions based on the amount in the line’s Estimated monthly commission field.
     3. Click Finish.
