Licence Groups

Establish licence groups in order to limit the number of logins allowed to the number of licenses a certain group has purchased. For example, if your agency pays for licences at the branch level, the members of each branch would be added as a separate licence group. Therefore, if Branch 1 purchased 50 licences and Branch 2 purchased 40 licences, the two branches would be limited to 50 concurrent logins and 40 concurrent logins respectively.

Note: This article contains printing instructions that are only applicable if Applied Epic is installed locally on your computer. If you access Epic through a web browser such as Google Chrome, Mozilla Firefox, or Microsoft Edge, you cannot print directly from within the system. See Printing for more information about the printing capabilities available from Epic Browser. All other steps in this article are applicable to both methods of accessing Epic unless stated otherwise.

From the Home screen, click Configure on the navigation panel.

From any other area of the program, do one of the following:

Click the down arrow to the right of the Home options bar button and select Configure.
Click Home > Configure on the menubar. The Configure screen displays.

Click Security > Licence Groups on the navigation panel.

You can do the following from here:

Add a Licence Group
1. Do one of the following:
  - Click the Add button to the left of the group list.
  - Click New > Licence Group on the options bar.
  - Click File > New > Licence Group on the menubar.
  - Press [Insert] on your keyboard.
2. Enter a Name for the group.
3. Enter this group's Licence limit.
4. To add members to the group, do one of the following:
  - Press the Add button to the left of the list.
  - With focus on the list, press [Insert] on your keyboard.
5. A list of available logins displays. Check all applicable usercode(s) and click Add. Click Finish when you are done adding users, or Cancel to leave the screen without adding any other users.
  To remove a user from the list, highlight the user in the list and click the Delete button or press [Delete] on your keyboard.
  
  Note: A login can only be a member of one licence group.
1. Click Add to save this group and add another.
  Click Finish when you are done adding groups.
  To exit the workflow without saving changes, click Cancel.
Edit a Licence Group
1. Select the desired Group in the list, and then do one of the following:
  - Click the Edit button to the left of the Group list.
  - Double click the group.
2. Edit the group Name and Licence limit if necessary.
3. To add members to the group, do one of the following:
  - Press the Add button to the left of the list.
  - With focus on the list, press [Insert] on your keyboard.
4. A list of available logins displays. Check all applicable usercode(s) and click Add. Click Finish when you are done adding users, or Cancel to leave the screen without adding any other users.
5. To remove a user from the list, highlight the user in the list and click the Delete button or press [Delete] on your keyboard.
6. Click Add to save this group and add another.
  Click Finish when you are done adding groups.
  To exit the workflow without saving changes, click Cancel.
Delete a Licence Group
1. Select the desired Group in the list.
2. Do one of the following:
  - Click the Delete button to the left of the Group list.
  - Click File > Delete on the menubar.
  - Press [Delete] on your keyboard.
3. You are prompted: "Do you wish to delete this record?" Click Yes.
Print a List of Licence Groups
1. To print a list of licence groups, do one of the following:
  - Click the Print icon to the left of the list.
  - Click Print > Listview on the options bar.
  - Click File > Print > Listview on the menubar.
2. The Print window displays. Print this list as you would any other document.
Run the On Demand Licence Group Detail Report
This option enables you to view and print a list of the users assigned to selected license groups or to all license groups in your system.
1. On the options bar or the menubar, click On Demand > Licence Group Detail.
2. The Licence Group Detail window displays. Select the All radio button if you wish to view results for all licence groups. If you wish to view results for a selected group or groups, click the Selected radio button and do the following:
  1. Click the Add button to the left of the list.
  2. The Add Licence Groups window displays. To filter the Available Groups that display, enter the desired criteria in the Search where bar and click Find.
  3. Select the appropriate group(s). To continue adding groups, click Add. When you are finished selecting groups, click Finish.
3. Click Preview. The Print Preview screen displays.
  
  Click Page Setup to specify the print parameters or to change the printer to which the document should be sent. Fill this window in as you would for any other document.
  
  Change the Zoom percentage to change the size of the document on the screen for easier viewing.
  
  Click the Single Page View , Double Page View , and Multiple Page View buttons to specify the number of pages that should display on the screen.
  
  Use the First Page, Next Page, Previous Page, and Last Page buttons to scroll through the pages on the screen, or enter the desired page number in the field provided and press [Enter].
  
  Click the Print button to print the document. Your Print window displays. Print this as you would any other document.
  
  Click Close to exit the screen without printing the document.
