You can easily export existing contacts into a Microsoft Excel file. If you update and save the file, you can then use it to Import Contacts back into the system (for example, to update contact information or add additional contacts to the same account).

The system assigns a Unique ID value to every contact. If you are exporting contacts prior to updating existing contacts via import, it is important to select a Mapping file that contains the Unique ID field. Retain the Unique ID values for any existing contacts, as the system uses the Unique ID to update them and creates new contacts for any records without a matching Unique ID.

  1. Access the Accounts area and locate the entity with which the contact is associated.
  2. Click Contacts on the navigation panel or Areas > Contacts on the menubar.
  3. Change the types of contacts that display in the list if necessary.
  4. You can change the columns that display in the list if necessary. To sort the contact list by a particular column in ascending or descending order, click the column heading.

  2. In the Export Contacts window, select the contact Type from the dropdown menu.
  3. If necessary, you can choose a mapping file that is specific to the selected account by selecting the Select file by account checkbox before selecting a Mapping file.
  4. Select a Mapping file from the dropdown menu.

    If you plan to update the file and use it to Import Contacts, it is important to select a
    Mapping file that contains the Unique ID column and preserve the Unique ID values for any existing contacts. The system will create new contacts for any imported records without a matching Unique ID.
  5. Enter a File name for the file you are exporting.
  6. Select any checkboxes that apply:

  7. If the delivery options are enabled, the primary contact defaults into the Contact field. To choose a different contact on the account, click the lookup button , change the types of contacts that display in the list if necessary, select the contact, and click Finish.
  8. Click Continue to view the list of contacts to be exported. Click on any column heading to sort the list by that column in ascending or descending order.

Click Cancel to exit the workflow without exporting any contacts.
