Finalize a General Ledger Export Batch

Finalizing a batch prevents it from being canceled or modified. Only batches that have already been exported can be finalized. It is possible, however, to finalize a batch with a Status of Created if the debit and credit amounts both equal $0.00, because a $0.00 batch cannot be exported. Finalizing a batch removes it from the Export – General Ledger – Current list.

Finalizing General Ledger export batches after importing into your third-party financial system is recommended, to ensure that the data in Epic matches that in the third-party system.

You can finalize multiple batches at once.

1. Access the Export area.
   1. To access the General Ledger area from the Home screen, do one of the following:
      • Click General Ledger on the navigation panel.
      • Click Areas > General Ledger on the menubar.
      • Click the down arrow next to Home on the options bar and select General Ledger.

      To access the General Ledger from another area of the program, do one of the following:

      • Click Home > General Ledger on the menubar.
      • Click the down arrow next to Home on the options bar and select General Ledger.
   2. Click Export on the navigation panel or Areas > Export on the menubar.
2. Select the batch(es) in the list and do one of the following:
   • On the menubar or options bar, click Actions > Finalize Batch.
   • Right click a selected batch and click Finalize Batch.
3. You are prompted, “Do you wish to finalize batch [batch number]?” or “Do you wish to finalize the selected batches?” Click Yes.
