Move Attachments Through Utilities

The Move Attachments utility enables you to move attachments in bulk to another folder that meet the selected criteria. Using the Move files in subfolders selection, all attachments of the selected folder are moved to the specified Move to folder. Retain subfolder structure copies the existing subfolder structure to the designated folder and all attachments within those folders are moved to the new structure.

  1. To access Utilities from the Home screen, do one of the following:

To access Utilities from another area of the program, do one of the following:

  1. Click Attachments on the navigation panel or Areas > Attachments on the menubar.
  2. Click Move Attachments on the navigation panel.
  3. In the Move From section, choose the attachment folder path from which you would like to move files.
  4. Select the Move files in subfolders checkbox if applicable.
  5. Select the Retain folder structure checkbox if you would like to move the files while retaining the same folder structure.
  6. In the Date Range section, optionally enter an Attached date and To date, or select dates from the dropdown calendars for those fields.
  7. Optionally enter a Last edited date and To date, or select dates from the dropdown calendars for those fields.
  8. Optionally enter a Received date and To date, or select dates from the dropdown calendars for those fields.
  9. To move attachments associated with certain account types, deselect any Account types you do not wish to move.
  10. To move only a specific file type, enter the File type in the Detail section.
  11. To move only the files that were attached by a specific user, enter the employee name in the Attached by field, or click the Locate button, enter at least the first letter of the user's Full name, and click Locate. Click on the correct name in the list and click Finish or press [Enter].

    Note: To include the names of inactive employees in the search, select the Include Inactive checkbox.
  12. To move only the attachments that were last edited by a specific user, enter the employee name in the Last edited by field, or click the lookup button , enter at least the first letter of the user's Full name, and click Locate. Click on the correct name in the list and click Finish or press [Enter].

    Note: To include the names of inactive employees in the search, select the Include Inactive checkbox.
  13. Choose the security Access level of the files to move if applicable.
  14. In the Move To section, choose the attachment folder path to which to move the selected files.
  15. Do one of the following:

  16. A pop-up window indicates the number of attachments that were moved. Click OK or press [Enter] to close the pop-up window.
