Activities
The Activities section lists
all open activities assigned to you that have been synced from your management
system.
To access this area, tap the menu button in the top left corner and
then tap Activities.
The Activities list displays
the Description, the account
with which the activity is associated, the date Entered,
and the Follow Up date.
Tap the Filter button if you wish to sort
the activities by Entered date
or by Follow Up date. The sort
currently in place displays an arrow. Tap the sort again to sort in the
reverse order.
View Epic Attachments
Some activities may have supplemental attachments associated to them
from Applied Epic, such as documents or images. To view Epic Attachments,
do the following:
- Tap an activity.
- The activity's detail displays. Tap Attachments
on the bottom of the page.
- All associated attachments display. Tap an attachment
to view it.
Add an Activity
To enter a new activity that will sync back into your management system:
- Tap the Add
Activity button
on the Activities
list.
- Tap the Account
Information field to select an account name. Select the account
name from the list or tap the lookup button and enter a portion of
the name to select the client to which the activity should be attached.
- Select an Activity
Code. Select the code from the list or tap the lookup button
and enter a portion of the activity description or code to narrow
the list. The Activity Code Description
defaults.
- Your name defaults as the activity owner but you can tap the Who/Owner field to change it. Select
the correct who/owner from the list or tap the lookup button and enter
a portion of the description or code to narrow the list.
- The follow-up date and time default but you can change them if
necessary..
- Optionally enter an Activity
note.
- To attach images to the activity, tap Upload
Photos.
- You can take new photos or select existing ones.
- To expand the photo to its full size, tap the thumbnail photo.
- To delete the photo, tap the Delete
button on the thumbnail.
- You can attach up to 10 images.
- Turn the Add
a calendar event switch on or off as necessary.
- Tap Save.
If the Add a calendar event
switch was turned on in the previous step, a pop-up screen displays,
allowing you to add the activity to your device’s calendar.
- On an Apple device, no setup is necessary for this feature.
If the device has more than one calendar, you can select the desired
calendar.
- On an Android device, this function interacts with an email
account that is integrated with a calendar on the device.
- Tap Save.
The activity is sent to your management system. If you added a photo
attachment to the activity, it displays in the Attachments
list for the account.
Close an Activity
- Tap Close
on the activity contact card, or from within the activity, tap Close.
- From the Result dropdown
menu, tap to select Successful
or Unsuccessful
based on how the activity was completed. If you select Unsuccessful,
tap the Reason
field to select a reason. To narrow the list of reasons, enter a portion
of the reason description in the search field.
- Optionally enter an
Activity note.
- Tap Save.
- If the activity contains tasks that have not been completed, a
popup message displays indicating that all open tasks must be closed
before you can close this activity. Tap OK.
Edit an Activity
- Tap Edit
on the activity contact card, or from within the activity tap the
Edit button.
- To change the activity Who/Owner,
tap in the field and select the correct who/owner from the list, or
tap the lookup
button and enter a portion of the description or code to narrow the
list.
- Optionally amend the Follow-up
date.
- Add a new Activity
note if desired.
- To attach images to the activity, tap Upload
Photos.
- You can take new photos or select existing ones.
- To expand the photo to its full size, tap the thumbnail photo.
- To delete the photo, tap the Delete
button on the thumbnail.
- You can attach up to 10 images.
- Tap Save.
Add an Activity Note
- Tap Edit
on the activity contact card, or from within the activity tap the
Edit button.
- Enter the new note in the Activity
Note field.
- Tap Save.
Activity Tasks
Some activities may have tasks associated to them from Applied Epic.
You can view and edit existing tasks or add a new task. To access the
list of tasks associated to an account in Applied Epic, tap Tasks on the activity contact card, then
tap Tasks
at the bottom of the screen.
To add a task, do the following:
- Tap Edit
on the activity contact card.
- On the bottom of your screen, tap Tasks. The task list displays.
- Tap the Add
button. The Add Task screen
displays.
- Enter a Task
description.
- Assign a task owner using the Who/owner
field.
- Select a Status
if applicable.
- Optionally, enter a Start
date and time.
- Optionally, enter a Due
date and time.
- Tap the Task
Note area and enter notes if applicable.
- Click Save
to complete your task.
- Close the Task
contact card.
To edit a task, do the following:
- Tap Edit
on the activity contact card. The Activity
Edit screen displays. The activity code must have tasks assigned
to it from Applied Epic.
- On the bottom of the screen, tap Tasks.
The task list displays.
- Tap Edit
on the task contact card. The Edit
Task screen displays.
- Edit the task Description.
- Update the task owner using the Who/owner
field.
- Update the Status.
- Optionally, update a Start
date and time.
- Optionally, update the Due
date and time.
- Tap in the Task
Note area and enter notes if applicable.
- Tap Save
to complete the task.
- Close the Task
contact card.
