Generate Follow-up Letters

Two processes may be used to generate follow-up marketing letters, Close-Day and Dequeue Documents.

Close-Day

When the Close-Day procedure runs, Marketing Letters dequeue if the Print Letters option is checked. (For Close-Day setup procedures, please refer to Close-Day Setup.)

Note: The Activities generated by the Marketing Plan setup process correctly only through the TAM version of Close-Day. For this process to function properly, Close-Day must be run daily from the TAM Accounting program. If only Marketing Plans are to be processed, it may be necessary to set up a new Close-Day procedure that will Process Activity File and Print Letters.

Dequeue Documents

The Dequeue Documents utility is available through the Utility Manager. Use the following steps to print letters through the Utility Manager.

  1. At Home Base, click Utilities.
  2. On the Utility Manager screen, open the General folder in the treeview.
  3. Open the Document Maintenance folder and select Dequeue Documents.
  4. Click the arrow to continue.
  5. On the Dequeue Documents window, select the documents you want to print and click OK.
  6. If you need to change printers, click Change Printer.
  7. Select the correct printer and click OK. The letters print.
  8. If the letters printed correctly, click Yes to remove them from the queue. If not, click No to reprint them.

As activities generated by the first letter reach their action dates, Close-Day processes them, generating the next letter and its previously specified activity. Those activities closed because of customer or prospect response do not generate the next letter. This process continues until the final letter generates.
