Move Client

The Move Client utility is most often used to move a prospect to the Customer File. However, it also may be used to move an inactive customer to the Prospect File. This option may be used if you want to keep a client in the system, but not as an active customer.

The following workflow describes the move from the Prospect File to the Customer File. The workflow to move from Customer to Prospect is the same, except that you begin at the Customer File instead of the Prospect File.

  1. At Home Base, click Clients & Files.
  2. From the dropdown menu above the list, select Prospects.
  3. Select the desired prospect from the list.
  4. Click Options and then click Move Client. The Move [Client Number] to Customer File window displays, with the selected client code in the window title.
  5. Select the checkboxes for any or all of the following elements that you wish to move to the Customer File.
  6. Select Use Defaults for New Policies if you want to assign the default policy type associated to each application via the Install Policy Types utility, or deselect this option if you wish to manually select the type for each policy.
  7. Select Delete Records After Moving if you wish to remove this information from the Prospect File when it is moved to the Customer File, or leave this box unchecked to keep the original information in the Prospect File in addition to the Customer File.
    Note: If you are only moving selected policies rather than all policies, selecting this option generates a warning stating that not all policies were selected, and asking if you still want to delete this prospect.
  8. Select Assign New Customer Number if you wish to assign a different code, or leave this box unchecked if you wish to keep the same client code.
  9. The prospect's policies display in the upper list. Choose the policies that you wish to move to the Customer File. The Select All and Select None buttons can be used to select or deselect all of the policies.
  10. The applications attached to the selected policies display in the lower list. Choose the applications that you wish to move with the policies. The Select All and Select None buttons can be used to select or deselect all of the applications. Selected applications are highlighted.
  11. When you have completed your choices, click OK.
  12. If you selected the Assign New Customer Number option in step 8, a CLIENT CODE screen displays. Type the new client code in the Enter Code box, and click OK. If you want to merge this prospect with an existing customer account, type the code for that account or select the account from the list.
  13. If you did not select Assign New Customer Number, and that customer number already exists in the Customer File, the warning message Customer already exists, do you wish to update it? displays. Click Cancel to return to the Move to Customer File screen, or click Yes to add the prospect information to the existing customer.
  14. After the prospect is moved to the Customer File, a message displays on the screen stating, "Move was completed successfully." Click OK.
