Close Item/Calculate Open Item

Use this program to flag closed invoices and calculate the number of the first open invoice stored in the your database for each customer. This number serves as a filter so that TAM does not have to search through the entire Customer file to locate a customer's first open item. This program is run automatically as part of the Packing and Reindexing Program. It is provided here so that you can perform this function separately if necessary.

Note: All users must exit TAM in order for this utility to be accessible.

  1. On the desktop, click Start > Programs > Applied Systems > Utility Manager.

    Note: TAMCloud clients should instead click Start > Programs > Applied Utilities > Utility Manager.

    Note:     You must access Utility Manager this way to run this utility.
  2. On the Utility Manager screen, open the Accounting folder in the treeview.
  3. Open the Receivables folder and select Close Item/Calculate Open Item.
  4. Click the arrow 70utmg01.gif (1019 bytes) to continue. TAM gives the last date the utility was run and asks for a confirmation to continue.
  5. Click Yes. When the utility is complete, you are returned to the Utility List.
