Enter Recurring Journal Entries

Use this option to enter journal entries that you intend to use on a regular basis. Two variations of recurring journal entries are available: default entries and recurring Month-End entries. Default entries are journal entries that are saved under a selected code and can be reused anytime you enter journal entries by entering the appropriate default code. When you do so, the default entry saved for that code displays, and you may use it as displayed or change it as needed.

This type of default journal entry may also be installed upon entry in the Enter Journal Entries program by assigning an unused default code to the entry.

The second type of recurring journal entry is the recurring Month-End entry. This type of entry is also saved under a default code but is also marked so that TAM automatically repeats the entry for each month when you run Month-End. By doing so, you do not need to manually enter journal entries that are repeated every month for the same amount. TAM files a copy of such entries for you when you run Month-End. Only journal entries that do not include cash accounts are eligible for this option.

As with other journal entries, recurring journal entries must balance debits and credits.

  1. From home Base, click the Accounting button.
  2. Click Journal Entries.
  3. Click Enter Recurring J/Es.
  4. Double click in the Agency field to select the desired agency. If only one agency has been installed, the agency code defaults.
  5. Enter the six-character Default Code under which to save the recurring journal entry and press [TAB]. The Default Journal Entries window displays.
  6. Click OK to confirm adding the new code.
  7. On the ADDING Default Journal Entries screen, enter a description for the new entry and click Add.
  8. Select the Include in Month-End checkbox if TAM should generate the journal entry automatically each month during the Month-End Procedure. This feature is useful for entries repeated each month with identical figures.

    Leave the checkbox blank if the entry does not need to be generated each month, or if the entry includes a cash account. This option should be used for entries repeated frequently that affect the same accounts each time but may have different figures each time they are used.
  9. Enter the following information for each line of the recurring journal entry.
  10. After you complete each line entry, click Accept Line. The entry displays in the lower portion of the window. Click on any of the lines listed to revise their information.
  11. Once you have entered all lines of the recurring journal entry, click one of the following buttons to perform the desired function:
  12. Click OK to store the recurring entry.
  13. Repeat steps 4 through 12 for each recurring entry you create and store.
