Lotus Notes Integration

Integration enables you to access Lotus Notes email from within TAM.

Enable Integration

  1. From the Home Base menubar, select Tools > User Setup.
  2. The Lotus Notes INI File Path frame is located at the bottom of the Startup tab. Click the ellipsis to browse to the appropriate file (default path is \Program Files\IBM\Lotus\Notes\notes.ini).
  3. Click OK to save your selection.

Sign-on Process

You may be prompted to enter a password to access Notes when you next sign on to TAM.

This dialog appears only when certain Notes settings are selected. The settings are found within the Notes client, under File/Security/User Security. 

Although TAM integrates with Notes when the Notes client is not open, it is recommended when integrating with Notes to have the Notes client open and minimized on the taskbar. This reduces load times for the areas that the API specifically requires the Notes client to be open (e.g., composing a new e-mail, replying, forwarding, etc.). It also reduces Notes client logons if the Single Logon component has not been installed.

Attachments List

Attaching an Email to an Entity

To access the Notes directory structure via the Attachment List, click Add > Attach an Email.

The email router displays. For more information, see Attach an Email from Attachment List.

Emails from any accessible folder can be accessed and attached from here. This allows access to Public folders where email may have been moved from Notes. Please notice that the Notes API does not allow access to displaying emails stored in Private folders.

Sending Attachments

The eFiling system allows any attachment to be sent via email when integrated with Notes.

Select an attachment in the list, and from the Options menu, select Send Through Email. A new, blank email opens with the attachment inserted.

If the selected attachment is an email, select Send Through Email to create a new Notes email with the subject and body from the original email (complete with attachments if there were any on the original attached email).

Receptionist

Receptionist allows the user to take messages and send them to other e-mail recipients via Lotus Notes.

Double click within the To or CC fields to bring up the Notes Directory (or personal address book) from which to select recipients.

Select the Urgent checkbox to send the message as an email marked with High Importance.

Client Detail

All of the entity detail screens have a space reserved for an email address. If the Mailto option is enabled, clicking the New Mail Message button opens a new email memo in Notes that is addressed to the address entered into the email address field.
