Month-End Checklist when NOT Using Accounting

The steps below illustrate the process to complete the Month-End procedure if you are not using the accounting features of the system. When processing the final month of your fiscal year, TAM replicates the chart of accounts. The system cannot replicate required accounts with multiple fiscal years open. Therefore, it is recommended that you perform this procedure at the end of each month in order to avoid problems at year-end.

Note: You can set up your system to automatically generate month-end journal entries even if you do not elect to use TAM for accounting purposes. Doing so gives you the ability to begin using accounting without making changes to your setup, or allows you to use only a portion of the accounting features in TAM. Items not required, in the event that you do not select system generated month-end journal entries, are indicated within the document.

  1. Run the Cross-Reference Book of Business Report. This report takes a snapshot of the Premium fields listed on the billing screens of policies. You need to run the report each month before posting, possibly using several different sets of criteria depending on the information you want to save.
    1. From Home Base, click Reports.
    2. Under the Report Type of Reports - Management, select Book of Business - Cross Ref.
    3. Click the Criteria tab and modify the criteria as necesary.
    4. Because Premium fields can change on a daily basis, you must make sure to save the report results so that you can recreate them at a later time. To do so, click Ask and Run on the Criteria tab. Make the appropriate selection on each window that displays. On the Output window, be sure to select Run and Save Results. If you do not, you will not be able to compare future reports with this month's results.
  2. From Home Base, click Accounting, Month-End.
  3. Click Initiate Month-End Procedure.
    1. A description of the procedure displays in the window. Click OK to accept the default closing month and initiate the Month-End procedure.
    2. Click OK to return to the Month-End Procedures window.
  4. If your system is installed to automatically generate Month-End journal entries, continue to the next step. If not, proceed to step 8.
  5. Click Generate J/Es for Current Month. Click OK to generate the journal entries for the accounting month shown.
  6. Click View Generated J/Es. Click Print to print the generated journal entries, or click Print Preview to view the entries on the screen.

    Click Printer Setup to revise the printer options. Click Cancel to skip printing or viewing the generated entries.
  7. Click Accept Generated J/Es. This procedure transfers Month-End Journal Entries for the accounting month listed into the General Ledger journal entry file. Once they are accepted, no further invoicing activity for this month will be allowed by the system.
  8. Click Post Journal Entries to begin the posting procedure. Click the checkbox to indicate that you have run the reports listed, and then click OK.

    Note: If you do not use TAM accounting, you do not need to run these reports, but you still must select the checkbox in order to proceed.
  9. Click OK to post the Journal entries for the accounting month shown.

    Note:
    If the month posted is the final month of the defined fiscal year, TAM replicates the current chart of accounts for the coming fiscal year and automatically runs the Year-End procedure.
  10. Click Management Reports and select the desired radio button.
  11. Click Cancel to exit the Month-End Procedure screen.
