Change Activity File Utility

Use this utility to make global activity file changes such as reassigning Who codes or closing a group of activities. This utility must be queued to run though Night Utility Job System; it cannot be run immediately. This utility will only adjust open activities, it will not change closed activities.

Important Note: Verify that a current and complete backup exists before running this utility.

  1. From the Home Base, click Reports.
  2. Select Reports - Activity for the Report Type.
  3. Select Change Activity File Utility for the Report Choice.
  4. Click the Criteria tab.
  5. Set Field to Change to the activity file field you wish to change, e.g., to change the Who code from one user to another, select Who Should Follow-Up. When prompted for the Who code, select the new user to be assigned.
  6. Change other parameters to limit which activities to change.
  7. Click Run.
  8. When you are prompted "Continue with Data Preview?" click Yes.
  9. From the Data Preview screen, select activities that should NOT be changed by marking the far left column (which then changes from white to black).
  10. After all selections have been made, click OK.
  11. The Print Options dialogue offers Preview, Print or Cancel. Printing the changes is recommended.
  12. Click Cancel, with or without printing, to queue the change.
  13. Click Yes in response to the question: "Spool these changes to run during Night Utility Job System?" This utility cannot be run immediately; it must be queued to run through Night Utility Job System. A message indicating Changes successfully spooled for Night Utility Job System displays. If you wish to exit without queueing the changes, click Cancel.
  14. To complete the process, exit Reports. From Home Base, click Utilities.
  15. Expand the System Administrative, Night Utility Job System folder.
  16. Select Night Utility Job System Setup.
  17. Click the arrow to continue.
  18. Select the desired day of the week to define the Batch Change Activity File. See Set Up Night Utility Job System Setup for additional information.
  19. Select Batch Change Activity File.
  20. Click OK.
  21. When prompted to save the changes, click Yes.
  22. When Night Utility Job System is run for the day of the week selected, the activity file will be updated.

Tip: The program creates a WACTDEF.SAV file in the \TAM\SAV directory on your TAM data volume. If you decide not to make the changes after queuing, delete this file to abort the changes.
