Add an Activity
Use the following steps to add an activity record attached to an entity.
Note: To add an activity that is not attached to an entity, see Add an Activity Not Attached to an Entity.
- At Home Base, click Clients & Files.
- From the dropdown menu above the list, select the entity type.
- Select the desired entity in the list.
- Click the Activity List button on the button bar.
- Click the Add button below the button bar.
- Select the desired activity from the Activities list on the Activity Category screen.
- If the activity is to be attached to a client, select the policy with which you want to associate the activity. If the activity is not associated with a specific policy, click the No Policy box. This option is available only when you add an activity for a Customer or Prospect.
- Click OK.
- On the New Activity Detail screen, enter or revise the information in each field as it applies to the new activity record.
- The Entered and Operator fields cannot be revised.
- To revise the Plan (marketing plan), Type (policy type), CSR (A/H), Insurer, Introducer, or Agent codes, double click the fields to the right and make the appropriate selection from the list that displays.
- To change the activity Category, double click the Category field. The Description defaults according to the Category.
- If an amount of money is to be associated with this activity, enter it in the Amount field.
- To add a note to the activity, type it in the Add Note field. When you save your changes, the note will be added to the Existing field.
- Unless you wish to close the activity immediately, leave the Yes radio button selected in the Open frame. To close the activity, you would select No.
- To designate a follow-up action:
- Double click in the Who field to select the person responsible for following up.
- Enter the date and time to follow up in the Follow-Up fields.
- Double click in the Action field to specify an additional action, and use the On field to designate a date for that action.
- Check Add to Outlook if you would like to add this action to Microsoft Outlook as a Calendar appointment (if a time was specified) or a Task (if no time was specified). See Outlook Synchronization.
- When you finish entering information, click OK.
- Click Yes to save your work. The new activity record is added to the corresponding Activity List (Open or Closed).
