Drill Down

Use the Drill Down option to open an item linked to an activity, such as a memo or document. For example, if you created a TAM document on a customer and said Yes to create an activity when you were saving the document, you have the ability to drill down on that activity and it will bring you to that document.

The following activity types have drill down associations:

Memos (MEMO)
Documents (various codes)
Emails (EMAL)
fax@vantage faxes (FRCV, FSNT, ESNT)
Images (IMAG)
Archive (ARCH)
Suspended Workflow Wizard (WIZD)
Data Conversion (UTIL, DATA)
Successfully closing an activity with a drill down - Users have the option to create a new activity when successfully closing an open activity (except Close Successfully, This Item Complete). The new activity has an activity code that matches the Close Successfully option chosen. The new activity has the same drill down as the original activity.

To determine whether an activity has a drill down associated with it, look at the Clients & Files Activity List. A drill down associated with an activity is indicated by a number displaying in the DD column. The count indicates the number of attachments associated with the activity. Note that the DD column is on the far right in the list, so you may need to scroll right to see it.

There are three different areas in TAM from which you can drill down on an activity:

From the Home Base Open Activities List
From the Activity Center
From the Clients & Files Activity List

From the Home Base Open Activities List

There are two ways to drill down on an activity from the Home Base Open Activities list:

Double click on the activity in the list.
Right click on the activity, and select either Client Drill Down or Item Drill Down.

From the Activity Center

There are three ways to drill down on an activity from the Activity Center:

Double click on the activity in the list.
Right click on the activity, and select either Client Drill Down or Item Drill Down.
Click on the activity, click Options, and select either Client Drill Down or Item Drill Down.

Note: The Activity Center is accessible from the Home Base by clicking Options, Activity Center, or by clicking the Magnifying Glass/Activity Center button.

From the Clients & Files Activity List

There are two ways to drill down on an activity from the Clients & Files Activity list:

Right click on the activity in the list, and choose Drill Down.
Select the activity and click Options, Drill Down.

Note: On the Clients & Files Activity List, a drill down associated with an activity is indicated by a number in the DD column.

Attachment Detail

When you drill down on an activity that is linked to an item in the Attachment List, the Attachment Detail window appears.

On the Attachment Detail window, click Options and select one of the following:

View Attachment
View Attachment With...
Edit Attachment
Display Attachment
Print Attachment

If the attachment item contains grouped attachments, an attachment button with a totalled attachment count displaying beside it in the lower right corner of the window. To view the list of attachments, double click the Attachment button or select Display Attached Items from the Options menu.

Note: You can select Options, View Attachment or View Attachment With to open the actual file, as long as the program associated with that file type is installed on the workstation and security access has been granted. View Attachment opens TAM documents in Microsoft Word Viewer, and Edit Attachment opens TAM documents in Microsoft Word.

Client/Item Drill Down Options

Two drill down options are available on the Home Base Open Activities list and the Activity Center, Options menu:

Client Drill Down

When you select Client Drill Down, TAM opens Clients & Files, the linked client list (i.e., Customers, Introducers, etc.), the Activity List, and the drill down item (i.e., Activity Detail, Attachment Detail, Suspended Workflow Wizard, etc.)

If you double click on a drill down activity on the Home Base Open Activities list, TAM accesses the item as it does when you select the Client Drill Down option.

Item Drill Down

When you select Item Drill Down, TAM directly opens the linked drill down item. (It does not open the Clients & Files screens as in Client Drill Down.)
