Transfer of Funds
Choose this option to move money from one cash account to another. The transfer can be made using a cheque or a miscellaneous withdrawal. If you plan to use a cheque, set up the bank, your agency, or a special transfer supplier under the code TRANSFR in the Supplier file. Then enter that proxy supplier as the recipient of the transfer cheque. Associating the cheque with that supplier helps you to keep an audit trail of the transfer entry. A miscellaneous withdrawal is used for automatic transfers when no cheque is actually issued, such as with a telephone or wire transfer.
Use the following steps to transfer funds.
- At Home Base, click Accounting.
- Click Receipts or Disbursements. (Transfer of Funds is available from either menu.)
- Click Transfer of Funds.
- Enter the Amount to transfer, then press [TAB].
- If the default Date is correct, press [TAB] to move to the next field. If not, enter the date for which to record the transfer, and then press [TAB].
- If the default Month is correct, press [TAB]. If not, enter the accounting month in which to record the transfer, and then press [TAB].
- Enter information for the transfer Withdrawal Account.
- Journal #: Enter code of cash journal from which to withdraw money. (Double click field for default list of cash journals.)
- Account: Account number of cash journal. Account number displays automatically when you enter journal number.
- BAL: Balance of selected cash journal. No entry required.
- Agency: Enter the code of the agency from which to take money. (Double click field for default agency list.) The agency number is entered automatically if only one agency is installed.
- Schedule: Optional. Enter schedule value for withdrawal entry, e.g., TRANSFR.
- Description: Enter description of transfer withdrawal. TRANSFER WITHDRAWAL is presented as default.
- Misc Number/Cheque Number: The Number of the miscellaneous withdrawal or cheque assigned to transfer withdrawal. No entry required.
- Type: Indicate whether to record transfer withdrawal as a Miscellaneous withdrawal or as a Cheque by clicking the appropriate radio button. If you use a cheque, you must write the cheque to a supplier payee. Enter the appropriate supplier payee code (or double click in the field or enter ? for default supplier payee list).
- Payee: Enter code of payee to whom to write cheque. Double click field for default supplier file. Set up special transfer suppliers as TRANSFR through the Supplier File.
Note: The Payee field displays only if you select Cheque in the Type frame.
- Enter information for the transfer Deposit Account.
- Journal #: Enter the code of cash journal to which you wish to deposit money. (Double click field for default list of cash journals.)
- Account: Account number of cash journal. Account number displays automatically when you enter journal number.
- BAL: Balance of selected cash journal. No entry required.
- Agency: Enter the code of the agency from which to transfer money. (Double click field for default agency list.) The agency number is entered automatically if only one is installed.
- Schedule: Optional. Enter schedule value for deposit entry, e.g., TRANSFR.
- Description: Enter description of transfer deposit. TRANSFER DEPOSIT is presented as default.
- Deposit Number: Number of deposit assigned to transfer withdrawal. No entry required.
- Click OK if the information is correct. If you want to exit without completing the funds transfer, click Cancel.
- Click Yes to confirm the transfer. The Print Deposit window displays.
- Click Print to print a deposit slip for the transfer.
After the deposit slip prints, the program returns to the Cash Receipts (or Cash Disbursements) screen.
- After completing the transfer, begin another entry or click Cancel to exit the program.
