Copy Policy

To reduce the time you spend manually reentering information when you write a piece of new business similar to an existing policy or split or merge business on one or more accounts, you can use the Copy Policy action to copy application and Servicing/Billing information to the same customer, a new customer, or from a prospect to a customer.

Note: This action does not copy attachments, transactions, activities, claims, Proofs of Insurance, or Service Summary information.

  1. Locate the account in question and access the Policies area.
  2. A list of policies for the selected customer displays. Change the policies that display in the list if necessary.
  3. You can change the columns that display in the list if necessary.
  1. Click on the appropriate policy in the list.

Note: Monoline and package policies are in bold. Lines of business included in package policies are not bolded; they are indented and listed beneath the package policies to which they belong.
  1. Do one of the following:
  2. The Copy Policy window displays. In the Destination section, select the To another account or the To current account radio button.

If you selected To another account, enter the lookup code for the client account to which you wish to copy the policy, or click the lookup button to locate the correct account.
  3. Information from the current policy defaults into the Structure and Policy Detail sections. Change this information as needed. Enter a Policy # if known.
  4. All the lines of business associated with the selected policy display. Select the checkbox for each policy you wish to copy. Click Select/Deselect All to select or deselect all lines. The associated policy detail displays below this list. Change this information as needed.
  5. In the Line Commission section, select the Default commission agreement checkbox if applicable.

If you select the Default commission agreement checkbox, select an Agreement from the dropdown menu.
  6. Select Flat Fee or Percentage of Premium in the Type dropdown menu.

If you select Flat Fee, enter the Amount.
  7. Click Detail to proceed with the copy.

Click Cancel or press [Esc] to exit the workflow without saving the information.

If the policy you are copying contains a current, past, or future commission schedule, you are prompted to update the schedule manually. Click OK. To update the schedule, access the Pr/Br Commissions tab in the Servicing/Billing section of the copied policy. Please note that all current and future term ranges on the commission schedule carry over to the copied policy, but any past term ranges are omitted.

For detailed instructions on updating the commission schedule, see Edit/View Policy Detail.

Note: The Service Summary for the copied policy displays a placeholder indicating that it was copied from another policy. See the Prior Account placeholder on the Categories/History tab of the copied policy to view information about the account from which the policy was copied, the date and time of the copy, and the user who performed the Copy Policy action. This information is not retained if the original policy is deleted, however.
