Payment Method Configuration

In this area you can customize the list of options available for selection in the Method dropdown list when entering a receipt detail row, printing a receipt for payment, or entering a payment transaction.

Note: This article contains printing instructions that are only applicable if Applied Epic is installed locally on your computer. If you access Epic through a web browser such as Google Chrome, Mozilla Firefox, or Microsoft Edge, you cannot print directly from within the system. See Printing for more information about the printing capabilities available from Epic Browser. All other steps in this article are applicable to both methods of accessing Epic unless stated otherwise.

To access the Payment Method Configuration area:

From the Home screen, do one of the following:
- Click Configure on the navigation panel.
- Click Areas > Configure on the menubar.
- Click the down arrow next to Home on the options bar and select Configure.
From any other area of the program, do the following:
- Click the down arrow to the right of the Home options bar button and select Configure.
- Click Home > Configure on the menubar.
Click Accounting on the navigation panel or Areas > Accounting on the menubar.
Click Payment Methods in the navigation panel.

The following workflows are available:

Add a Payment Method
1. Do one of the following:
  - Click the Add button to the left of the list.
  - With focus on the list, press [Insert] on your keyboard.
  - Press [Ctrl] + N.
  - Click File > New > Payment Method on the menubar or New > Payment Method on the options bar.
2. Select a Type from the dropdown list.
3. Enter a Description. Note that in the Method dropdown list, the Description will display before the Type.
  1. If you have more than one language available, the Description you enter populates for every language.
  2. To change the Description that will display in a different language, select the Language from the list or the dropdown menu and enter a Description.
  3. The Update matching descriptions in other languages options defaults as checked or unchecked based on your previous selection for it. The option cannot be changed during this workflow.
4. Click Finish to complete the record.
  
  Click Add to complete the entry and add another.
  
  Click Cancel or press [Esc] to exit the workflow without saving changes. You are prompted, “Do you wish to discard changes?” Click Yes.
Edit a Payment Method
System default payment methods cannot be edited. If you wish to modify a system default payment method, it is recommended that you instead inactivate it and add a new payment method.
1. Select a payment method in the list and do one of the following:
  - Click the Edit button to the left of the list.
  - Press [Enter].
  - Press [Ctrl] + O.
  - Click File > Open on the menubar.
2. If the method is associated to any existing payments, you are prompted, “Modifying the description will update all existing payments that have this method. Do you wish to continue?” Click Yes.
3. Select a different Type or modify the Description as desired.
  - If the Update matching descriptions in other languages option is checked and descriptions for more than one language match, any change you make to one description will be applied to the other description after you click Finish. Deselect this box if you prefer to update each description individually.
4. Click Finish to save changes. Click Cancel or press [Esc] to discard them.
Delete a Payment Method
System default payment methods cannot be deleted, but they can be inactivated (see below) if your organization does not use them.

Payment methods that have been used cannot be deleted.
1. Select a payment method in the list and do one of the following:
  - Click the Delete button to the left of the list.
  - Press [Delete] on your keyboard.
  - Press [Ctrl] + D.
  - Click File > Delete on the menubar.
2. You are prompted, “Do you wish to delete this record?” Click Yes.
Print a List of Payment Methods
1. Do one of the following:
  - Click the Print button to the left of the list.
  - Click Print > Listview on the options bar.
  - Click File > Print > Listview on the menubar.
2. The Print window displays. Print this list as you would any other document.
Inactivate/Reactivate a Payment Method
Inactivating a payment method means that it no longer displays in the Method field, but it will retain its association to any payment on which it was used in the past. You can view inactive methods by clicking the Include Inactive link label. To hide them from the list, click Exclude Inactive.
1. Select a payment method in the list.
2. Click Actions > Inactivate/Reactivate on the menubar or options bar.
3. You are prompted, “Do you wish to inactivate/reactivate this entry?” Click Yes.
