Policy Type Configuration

Applied Epic includes a standard list of preconfigured policy/line types, which are available for selection from the Type dropdown menu when you add a policy. If necessary, you can also add additional policy/line types in this area and assign them to the appropriate application detail.

1. From the Home screen, do one of the following:
   
   
   • Click Configure on the navigation panel.
   • Click the down arrow next to Home on the menubar and select Configure.
   • Click Areas > Configure on the menubar.

From any other area of the program, do one of the following:

2. • Click the down arrow to the right of the Home options bar button and select Configure.
   • Click Home > Configure on the menubar. The Configure screen displays.

2. Click Policy on the navigation panel, or Areas > Policy on the menubar.
3. Click Types on the navigation panel.

2. • Add a Policy Type

     1. Do one of the following:
        • Click the Add button to the left of the list.
        • Click New > Types on the options bar.
        • Click File > New > Types on the menubar.
        • Press [Insert] on your keyboard.
     2. Enter a new Code in the field on the right.
     3. The Policy can also be a line of business checkbox is selected by default. Uncheck this box if necessary. Selecting this checkbox means that the policy can be added to another line of business to create a package policy. You would deselect it if this policy type were only to be used as the header for a package policy (e.g., Commercial Package) or if it were only to be used as a monoline policy.
     4. Select the appropriate Type of business from the dropdown list.
     5. Select a Term default.
     6. If you select Benefits, Life & Health, or Other as the type of business, you can select the Plan year checkbox to set the expiry date to one day earlier than that of the term default (e.g. Jan. 1 to Dec. 31 instead of Jan. 1 to Jan. 1).
     7. Select the Default system date as effective date checkbox if you would like the current system date to default in the Effective date field when that policy type is added.
     8. Select the Default issuing location checkbox if you would like the issuing location to default based on the client’s mailing address when you add policies or lines or endorse policies.
        
        Note: To control this setting at the user level (rather than the system level), use the Default Insured’s mailing address as issuing location dropdown in Field Defaults Configuration for the Policy Add Workflow.
     9. Choose a Tax Option if applicable:

     • <Not Applicable>: Taxes are not generated automatically, and the Government Tax/Fee Rates screen does not display. Any taxes must be generated manually.
     • Auto Generate: Taxes are generated automatically. The Government Tax/Fee Rates screen does not display.
     • Exempt: Prevents tax transactions from being generated only when the policy premium already reflects the tax amount.
     • Prompt: The Government Tax/Fee Rates screen displays when you click Finish.

     10. Make a selection in the Application detail dropdown.

     11. Choose an AP section if applicable. This field is enabled only for policy types that use a custom Application detail and have a Type of business of Personal Lines or Commercial Lines. You can opt to use the AP section associated to that Type of business, or you can choose None.
     12. Optionally select the Include policy information section checkbox.
     13. Select an Annualized option. By default, the policy type uses the annualization calculation configured for each transaction code. However, you can also configure the policy type to use the annualization calculation you specify here, regardless of the option configured for the transaction code.
     • Actual: Transaction amount with no annualization applied
     • Terml: Annualizes the transaction amount for the policy term
     • Yearly: Annualizes the transaction amount for the most recent anniversary year
     14. Optionally choose a Department to be associated with this policy type. This will default when policies of this type are added, but it can be overridden.
     15. Optionally choose a Profit Center to be associated with this policy type. This will default when policies of this type are added, but it can be overridden.

     16. Select a Classification if you wish. These are used to group different policy types together in order to track income.

     17. The Ivans Product Code field is not applicable to Canadian brokerages.

     18. Select a Loss notice filter to associate with this policy type. The Loss notice filter determines the claim types available for selection when an employee adds a claim for this policy or line type.

     19. Select a Claim type to associate with this policy or line type. The Loss notice filter you selected in the previous step determines the options available in this dropdown menu. The Claim type you select will default in the Claim type dropdown when an employee adds a claim for this policy or line type.

     20. Enter the number of days prior to the expiration date this will show in the Renewals Manager.

     21. The active language displays in the Language dropdown menu and is based on your Primary Language as set up in Regional Settings Configuration.

     22. Enter the new policy type in the Description field.
     1. If you have more than one language available, the Description you enter populates for every language.
     2. To change the Description that will display in a different language, select the Language from the list or the dropdown menu and enter a Description.
     3. The Update matching descriptions in other languages option defaults as checked or unchecked based on your previous selection for it. The option cannot be changed during this workflow.
     23. Click Finish or press [Enter] to complete the record.
         
         Click Add to add this record and create another one.
         
         Click Cancel or press [Esc] to exit the workflow without saving changes. You are prompted: "Do you wish to discard changes?" Click Yes.

   • Edit a Policy Type

     You cannot edit a policy type that is currently in use or that has a Real-Time association. If you attempt to do so, a validation message indicates where the type is in use.

     1. Click to highlight the policy type in the list, and do one of the following:
        • Click the Edit button to the left of the list.
        • Click File > Open on the menubar.
        • Double click the policy type.
     2. Revise the information in the fields as necessary.
        • If the Update matching descriptions in other languages option is checked and descriptions for more than one language match, any change you make to one description will be applied to the other description after you click Finish. Deselect this box if you prefer to update each description individually.
     3. Click Finish or press [Enter] to complete the record.
        
        Click Add to add this record and create another one.
        
        Click Cancel or press [Esc] to exit the workflow without saving changes. You are prompted: "Do you wish to discard changes?" Click Yes.

   • Delete a Policy Type

     You cannot delete a policy type that is currently in use or that has a Real-Time association. If you attempt to do so, a validation message indicates where the type is in use.

     1. Click to highlight the policy type in the list, and then do one of the following:
        • Click the Delete button to the left of the list.
        • Click File, Delete on the menubar.
        • Press [Delete] on your keyboard.
     2. You are prompted: "Do you wish to delete this record?" Click Yes.

   • Inactivate/Reactivate a Policy Type

     1. Click the policy type you wish to inactivate or reactivate.
     2. Click Actions > Inactivate/Reactivate on the options bar, or click Actions > Inactivate/Reactivate one the menubar.
     3. You are prompted to verify the change. Click Yes.

   • Print the List of Policy Types

     1. To print the list of policy types, do one of the following:
        • Click the Print button to the left of the list.
        • Click Print > Listview on the options bar.
        • Click File > Print > Listview on the menubar.
     2. Print this list as you would any other document.
