Import/Export Proofs Configuration

Applied Epic allows you to import and export holders and additional interests in different file formats for client verification and for quick and easy entry of data into the program. The Import/Export Holders configuration area allows you to determine what information will be pulled into particular fields in Applied Epic.

1. From the Home screen, do one of the following:
   
   
   • Click Configure on the navigation panel.
   • Click the down arrow next to Home on the menubar and select Configure.
   • Click Areas > Configure on the menubar.

From any other area of the program, do one of the following:

2. • Click the down arrow to the right of the Home options bar button and select Configure.
   • Click Home > Configure on the menubar. The Configure screen displays.

2. Click Proofs on the navigation panel or Areas > Proofs on the menubar.
3. Click Import/Export on the navigation panel.
4. To sort the list, click the heading of the column by which you wish to sort.

You can do the following from here:

1. • Add a Mapping File
     1. Do one of the following:
     • Click the Add button to the left of the list.
     • Click New > Import/Export Holders on the options bar.
     • Click File > New > Import/Export Holders on the menubar.
     • Press [Insert] on your keyboard.
     2. Select a Proof:
     • Certificate
     • Evidence
     3. Choose a proof Type.
     4. Enter a Description.
     5. Select a Case.
     6. Select any applicable checkboxes in the Include section:
     • Title
     • Attachment descriptions
     • Desc. of Operations or Property
     • Special conditions
     7. If this file mapping is specific to an account or accounts, click the Associate/View File to Account(s) link.
        1. Click the Select by account radio button.
        2. Make the appropriate choice in the Locate by dropdown list:
        • Account/Business Name: Enter at least one letter in the Account/Business name.
        • Last Name, First Name: Enter at least the first letter of the Last name or First name.
        • Loan #: Enter the Loan number.
        • Lookup Code: Enter at least the first letter of the Lookup code.
        • Phone Number: Enter the Phone number.
        • Policy #: Enter at at least three characters of the Policy #.
        • Prior Account ID: Enter at least the first letter of the Prior ID.
        • Relationships: Enter at least the first character of the Relationship type and the Related account name.
        3. Select the Insureds and/or Prospects checkbox as appropriate.
        4. Click Locate.
        5. Click on the correct account in the Results list and click the down arrow to move it to the Selected list. To move all of the items to the Selected list, click the double down arrow.
           Note: to remove an account from the Selected list, click on the correct account and click the Remove button. To remove all of the selected accounts from the list, click the Remove All button.
        6. Click Finish.
     8. Two tabs display:
     • Descriptions
       1. The active Language displays in the Language dropdown menu and is based on your Primary Language as set up in Regional Settings Configuration.
       2. Enter a Description.
          1. If you have more than one language available, the Description you enter populates for every language.
          2. To change the Description that will display in a different language, select the Language from the list or the dropdown menu and enter a Description.
          3. The Update matching descriptions in other languages options defaults as checked or unchecked based on your previous selection for it. The option cannot be changed during this workflow.
     • Mappings

       1. A set of mappings defaults into the Mappings list. You can do the following if necessary:

       • Add a Mapping

         1. Click the Add button to the left of the list.
         2. Choose a Field in the Define Mapping window that displays.
         3. Enter a Description.
         4. Select the Do Not Import checkbox for any field that should not be imported into Applied Epic.
         5. Click Add to add another mapping.

         Click Finish if you have no more mappings to add.

          

         Click Cancel or press [Esc] to close the window without saving your changes. You are prompted: "Do you wish to discard changes?" Click Yes.

       • Edit a Mapping

         1. Click to highlight the mapping that you wish to revise in the list, and then do one of the following:
            • Click the Edit button to the left of the list.
            • Double click the mapping.
         2. In the Define Mapping window that displays, make any necessary changes to the settings.
         3. Click Finish.

       • Delete a Mapping

         1. Click to highlight the mapping that you wish to delete in the list, and then do one of the following:
            • Click the Delete button to the left of the list.
            • Press [Delete] on your keyboard.
         2. You are prompted: "Do you wish to delete this record?" Click Yes.

       2. To move an item up or down in the Mappings list, click on the correct item, and then click the up arrow or down arrow to the left of the list.
          
          Note: If you want to return the set of mappings for the selected risk type and application combination to the system defaults, click the Restore Default Mappings link label above the Mappings list.

     9. Click Finish to enter the record.
        
        Click Cancel or press [Esc] to exit the workflow without saving any of your changes.
   • Copy a Mapping File

     1. Click to highlight the mapping file that you wish to copy in the list, and then do one of the following:

     • Click Actions > Copy Mapping File on the options bar.

     • Click Actions > Copy Mapping File on the menubar.

     2. You are prompted: "Do you wish to copy the selected mapping file?" Click Yes.

     3. Make changes in the available fields to the right as necessary.

     4. Two tabs display:

     • Descriptions

       1. Enter a Description.
          1. The Update matching descriptions in other languages options defaults as checked or unchecked based on your previous selection for it. The option cannot be changed during this workflow.

     • Mappings

       1. A set of mappings defaults into the Mappings list. You can do the following if necessary:

       • Add a Mapping

         1. Click the Add button to the left of the list.
         2. Choose a Field in the Define Mapping window that displays.
         3. Enter a Description.
         4. Select the Do Not Import checkbox for any field that should not be imported into Applied Epic.
         5. Click Add to add another mapping.

         Click Finish if you have no more mappings to add.

   • Edit a Mapping File
     1. Click to highlight the mapping file that you wish to revise in the list, and then do one of the following:
     • Click the Edit button to the left of the list.
     • Double click the mapping file.
     2. Make changes in the available fields to the right as necessary.
     3. Two tabs display:
     • Descriptions
       1. Enter a Description.
          1. If the Update matching descriptions in other languages option is checked and descriptions for more than one language match, any change you make to one description will be applied to the other description after you click Finish. Deselect this box if you prefer to update each description individually.
     • Mappings

       1. A set of mappings defaults into the Mappings list. You can do the following if necessary:

       • Add a Mapping

         1. Click the Add button to the left of the list.
         2. Choose a Field in the Define Mapping window that displays.
         3. Enter a Description.
         4. Select the Do Not Import checkbox for any field that should not be imported into Applied Epic.
         5. Click Add to add another mapping.

         Click Finish if you have no more mappings to add.

          

         Click Cancel or press [Esc] to close the window without saving your changes. You are prompted: "Do you wish to discard changes?" Click Yes.

   • Delete a Mapping File
     1. Click to highlight the mapping file that you wish to delete in the list, and then do one of the following:
     • Click the Delete button to the left of the list.
     • Press [Delete] on your keyboard.
     2. You are prompted: "Do you wish to delete this record?" Click Yes.
   • Print a List of Mapping Files
     1. To print the list of the mapping files, do one of the following:
     • Click the Print button to the left of the list.
     • Click Print > Listview on the options bar.
     • Click File > Print > Listview on the menubar.
     2. Print this list as you would any other document.
