myEpic Groups Configuration

Note: This article contains printing instructions that are only applicable if Applied Epic is installed locally on your computer. If you access Epic through a web browser such as Google Chrome, Mozilla Firefox, or Microsoft Edge, you cannot print directly from within the system. See Printing for more information about the printing capabilities available from Epic Browser. All other steps in this article are applicable to both methods of accessing Epic unless stated otherwise.

From the Home screen, do one of the following:

Click Configure on the navigation panel.
Click the down arrow next to Home on the menubar and select Configure.
Click Areas > Configure on the menubar.

From any other area of the program, do one of the following:

Click the down arrow to the right of the Home options bar button and select Configure.
Click Home > Configure on the menubar. The Configure screen displays.

Click myEpic on the navigation panel or Areas > myEpic on the menubar.

Click Groups on the navigation panel.

A list of myEpic groups displays. You can do the following:

Add a Group
1. Do one of the following:
  - Click the Add button to the left of the list.
  - Press [Insert] on your keyboard.
2. The active language displays in the Language dropdown menu and is based on your Primary Language as set up in Regional Settings Configuration.
3. Enter the new group Name on the Names tab.
  1. If you have more than one language available, the Name you enter populates for every language.
  2. To change the Name that will display in a different language, select the Language from the list or the dropdown menu and enter a Name.
  3. The Update matching descriptions in other languages options defaults as checked or unchecked based on your previous selection for it. The option cannot be changed during this workflow.
4. On the Members/Workflows tab, specify whether All or Selected employees should have access to workflows in the new group.
5. Click the appropriate radio button on the Add Members pop-up window:
  - Individual Employees
    The Add Members pop-up window displays. Filter the list of employees that displays if you wish.
    
    To narrow the list of employees in the list, use the search bar above the list to specify the employees that you want to see.
    
    These are the choices in the first dropdown menu:
    
    Department
    
    Job Title
    
    Lookup Code
    
    Name
    
    Structure
    
    The choices available in the second dropdown menuvary, depending on the selection you made in the first dropdown.
    
    Equals: Enter the search criterion (e.g., the full department or name) in the field to the right, or select the correct date from the dropdown calendar (if applicable). Click Find.
    
    Contains: Enter at least one letter of the search criterion (e.g., part of the lookup code or name) in the field to the right. Click Find.
    
    Select the checkbox next to each member to be included in this group, or click Select All in the Available Employees header to choose all of the employees that are listed in the window.
    
    Click Finish or press [Enter] if you are finished.
    
    To add more employees to the group, click Add and repeat the steps.
    
    Click Cancel to close the screen without adding any members to the group.
  - Security Groups
    Select the checkbox for any security groups to include in the link group.
    
    Click Finish or press [Enter].
To remove a member or security group from the group, click to highlight the desired entity and then click the Delete button to the left of the list.
1. To add workflows to the group members' Workflows list, click the Add button in the Workflows section.
  
  The Add Workflows pop-up window displays. Filter the list of groups that display if you wish.
  
  To display workflows that are associated with a specific security group, make a selection in the Group dropdown menu.
Click the checkbox for each link to be added to the group, or click Select All in the Available Links header to choose select all of the checkboxes in the list.

Click Finish or press [Enter] to add the links.
To remove a group, click the desired item in the Workflows list and click the Delete button to the left.
Edit a Group
1. Click to highlight the appropriate group and do one of the following:
  - Click the Edit button to the left of the list.
  - Press [Enter] on your keyboard.
2. Optionally amend the group Name.
  1. If the Update matching descriptions in other languages option is checked and descriptions for more than one language match, any change you make to one description will be applied to the other description after you click Finish. Deselect this box if you prefer to update each description individually.
3. Specify whether All or Selected employees should have access to workflows in the new group.
4. Click the appropriate radio button on the Add Members pop-up window:
  - Individual Employees
    The Add Members pop-up window displays. Filter the list of employees that displays if you wish.
    
    To narrow the list of employees in the list, use the search bar above the list to specify the employees that you want to see.
    
    These are the choices in the first dropdown menu:
    
    Department
    
    Job Title
    
    Lookup Code
    
    Name
    
    Structure

  - Security Groups
    Select the checkbox for any security groups to include in the link group.
    
    Click Finish or press [Enter].
To remove a member or security group from the group, click to highlight the desired entity and then click the Delete button to the left of the list.
1. To add workflows to the group members' Workflows list, click the Add button in the Workflows section.
  
  The Add Workflows pop-up window displays. Filter the list of groups that display if you wish.
  
  To display workflows that are associated with a specific security group, make a selection in the Group dropdown menu.
Click the checkbox for each link to be added to the group, or click Select All in the Available Links header to choose select all of the checkboxes in the list.

Click Finish or press [Enter] to add the links.
To remove a group, click the desired item in the Workflows list and click the Delete button to the left.
Delete a Group
1. Click the workflow group to be deleted, and then do one of the following:
  - Click the Delete button to the left of the list.
  - Press [Delete] on your keyboard.
2. You are prompted: "Do you wish to delete this record?" Click Yes.
Print a List of Groups
1. To print a list of the workflow groups, click the Print button to the left of the list.
2. The Print window displays. Print this list as you would any other document.
