The Workload Reassignment utility allows you to reassign work (policies/lines, activities, tasks, and client accounts) from one employee to another, or reassign activities to a Work group. Only contracted policies on active accounts that have not been cancelled are updated when you perform a reassignment.
Once you access the reassignment utility, set up criteria for the reassignment and preview the reassignment to verify the work that will be reassigned before running the utility.
Important! There is no way to undo a reassignment, other than to access each reassigned item and change its owner manually. Creating a full backup of your data before running this utility is strongly recommended. Additionally, make sure to preview each reassignment before you run it.
Note: This article contains printing instructions that are only applicable if Applied Epic is installed locally on your computer. If you access Epic through a web browser such as Google Chrome, Mozilla Firefox, or Microsoft Edge, you cannot print directly from within the system. See Printing for more information about the printing capabilities available from Epic Browser. All other steps in this article are applicable to both methods of accessing Epic unless stated otherwise.
From any other area of the program, do one of the following:
Choose one of the following options from the Reassignment type dropdown:
Reassignment criteria display in the Criteria Selections list based on the Reassignment type selected above and default to None Selected or a similar value. You may click the Default to All Selected link label to default all criteria to All (rather than Selected). Since the reassignment cannot be undone, however, it is best to review each criterion and ensure that your selections are accurate.
For each criterion, select either the Include selections or Exclude selections radio button. The Include Selections option filters items using the criteria in the Selected list. The Exclude Selections option filters items using the criteria in the Available list.
All criteria options default in the Available
list. Choosing Include selections
includes all options for the selected criterion. Choosing Exclude
selections excludes all options for the selected criterion.

Set a range (either alphabetical or dates) or select [Open] to [Open]. If necessary, use the Search where options to narrow the list of results.
Choose a time to run the utility. Running it when no other users are in the system is recommended. The Scheduling radio button defaults to Now, but you can elect to schedule the utility to run after normal business hours so that it does not encounter locked items or accounts.
Note: There is no way to undo the reassignments other than accessing the reassigned items and manually changing the entities back to the entities originally selected. If a reassignment turns out to be incorrect and is too extensive to be corrected manually, a data restoration may be needed. To prevent data loss, you may wish to run the Workload Reassignment utility at the beginning of the day, after your system has been backed up and before any users have accessed it.
In Delivery Options, specify who will receive a report listing the items reassigned (as well as any failures that occurred) and how the report will be delivered. The report serves as a notification that items were reassigned, and recipients can also use it to validate the reassigned items. Click the Delivery Options tab.
Your own user account information defaults in the Report Recipients section, and Print defaults as the distribution method. You can change this default or add additional recipients if necessary. If you email the report, the file is attached as a PDF.
There is no way to undo a reassignment, other than to access each reassigned item and change its owner manually. For this reason, previewing the reassignment to verify the changes before running it is strongly recommended.
Before running the Workload Reassignment, make sure you have previewed it to verify the changes that will be made. You cannot undo a reassignment.
