System Event Configuration

Applied Epic allows you to specify which events will automatically generate an activity and which activity codes are available for each event. Epic comes with a set of predefined system events, each of which has a default activity code. You can change the activity codes assigned to system events if necessary, or make more than one activity code available. However, you cannot add new system events. See Activity Code Configuration for information on adding activity codes to the system.

You can set up system events to generate required or optional activities automatically.

1. From the Home screen, do one of the following:
    
   • Click Configure on the navigation panel.
   • Click the down arrow next to Home on the menubar and select Configure.
   • Click Areas > Configure on the menubar.

From any other area of the program, do one of the following:

2. • Click the down arrow to the right of the Home options bar button and select Configure.
   • Click Home > Configure on the menubar. The Configure screen displays.

2. Click Activity on the navigation panel or Areas > Activity on the menubar.
3. Click Events on the navigation panel.

2. • Edit Activity Events
     1. A list of system events displays. Click the appropriate system event and do one of the following:
        • Click the Edit button to the left of the list.
        • Click File > Open on the menubar.
        • Double click the system event.
        • Press [Enter].
     2. The fields on the right are enabled. If applicable, select the Generate activity for event automatically checkbox.
        
        If you do not select the Generate activity for event automatically checkbox, skip to step e.
     3. Specify whether the activity is Required, Not Required, or Background. Some system events are only available as Background activities. Background activities close automatically, with no interaction, but they must meet the following conditions:
     • The event must have a default activity defined.
     • All required fields on the activity (i.e., fields that a user must interact with) must be set up with valid default information. If this information is missing, the Add Activity screen will display regardless of your Background selection. If an activity code is set up to close as Unsuccessful in Activity Code Configuration, for example, you must define a default Unsuccessful Reason value.
     4. Activity codes associated with the system event display in the list. These options will be available in the Activity Code dropdown menu when the system event is triggered.
        
        • Add an Activity Code Option to the System Event Activity
          1. Do one of the following:
             • Click the Add button to the left of the list of activity codes.
             • Press [Ctrl]+N on your keyboard.
             • With focus on the list, press your [Insert] key.
          2. In the Available Activity Codes pop-up window, select the checkbox for each code you want to associate with the system event, and then click Finish.
             
             Click Cancel to close the window without adding the selected activity codes to the list.
        • Remove an Activity Code from the System Event Activity
          1. Highlight the code and click the Delete button to the left of the list or press [Delete] on your keyboard.
          2. You are prompted, "Do you wish to delete this record?" Click Yes to confirm or No to cancel.
     5. You can optionally associate a Default Code to the system event so that every time an activity is generated for it, that code defaults into the Code dropdown menu. To set a default code, highlight the code in the Activity Codes list and select the Default checkbox.
     6. Select the Generate activity for event automatically checkbox if you want to prevent users from selecting activity codes associated with this system event when adding activities manually.
        
        To make these codes available for selection on activities added manually, deselect the checkbox.
     7. Click Finish or press [Enter] to complete the record.
        
        Click Cancel or press [Esc] to exit the workflow without saving changes. You are prompted, "Do you wish to discard changes?" Click Yes.
   • Print a List of Activity Events
     1. To print the list of activity events, do one of the following:
        • Click the Print button to the left of the list.
        • Click Print > Listview on the options bar.
        • Click File > Print > Listview on the menubar.
     2. Print this list as you would any other document.
