Group Security Configuration

Group Security Configuration allows you to add, edit, or remove groups of users; add or remove group members; and set groups' rights. Please note that you cannot change your own security settings.

You can also assign a Type of Business to a group. Assign a Type of Business is useful if your agency wants to assign a specific visibility profile to all users in a security group. For example, you might configure a visibility profile specific to commercial lines users and assign it to the security group with the Commercial Lines type of business assigned.

If your existing groups are not type of business-specific, or if you use multiple groups to control bank account and structure access for each type of business (for example, for managers vs. servicing personnel), Applied recommends leaving those groups as they are and creating separate groups with only a Type of Business association (and no specific permissions). Assign each user to only one security group with a Type of Business association.

1. From the Home screen, click Configure on the navigation panel.
   
   From any other area of the program, do one of the following:

   • Click the down arrow to the right of the Home options bar button and select Configure.

   • Click Home > Configure on the menubar. The Configure screen displays.

2. Click Security > Security Groups on the navigation panel.
   
   You can do the following from here:

   • Add a Group

     1. Do one of the following:
        • Click the Add button to the left of the group list.
        • Click New > Group on the options bar.
        • Click File > New > Group on the menubar.
        • Press [Insert] on your keyboard.
     2. Enter the group Name.
     3. If applicable, select a Type of Business from the dropdown. You can only assign each Type of Business to one group, and you cannot assign multiple types of business to the same group.
     4. To add members to the new group, do one of the following:
        • Press the Add button to the left of the list.
        • With focus on the list, press [Insert] on your keyboard.

     To remove a user from the list, highlight the user and click the Delete button or press [Delete] on your keyboard.

     5. In the Add Users pop-up window, select the checkbox next to each user who should be added to the group.
     6. Click Finish or press [Enter].
     7. Click the Program Access tab.
     8. Choose an Area in the dropdown menu and click on a Sub-Area in the list.
     9. In the Permissions list, select the checkbox next to each item to which the group should have access. To grant access to all of the permissions for that Area and Sub-Area, click the Grant All link label above the Permissions list.
        
        Note: For more information and recommendations regarding security permissions in Applied Epic, see the Security Options section of the help file.
     10. Repeat steps h and i until all of the necessary permissions have been added.
         
         To grant access to all areas of the program, click the Grant All link label to the right of the Areas dropdown menu.
         
         Note: To copy settings from another group, select the group whose settings you want to copy from Configure > Security > Groups. Then select Actions > Copy Settings To from the menubar or the options bar. In the Copy Security Settings To pop-up window, select the desired checkboxes under Areas to Copy. Select the group(s) to which you want to copy these settings from the Available list. Use the single arrow buttons to move only certain groups into or out of the Selected list. Use the double arrow buttons to select or deselect all groups. Click Finish to copy the selected Areas to the selected groups.
     11. Click Finish or press [Enter] when all of the appropriate permissions have been assigned.
         
         Click Add to complete this group and create another one.
         
         Click Cancel or press [Esc] to exit the workflow without saving the new group. You are prompted, "Do you wish to discard changes?" Click Yes.

   • Edit a Group

     1. Select the Group in the list and then do one of the following:
        • Click the Edit button to the left of the Group list.
        • Click File > Open on the menubar.
        • Double click the group.
     2. Edit the group Name if necessary.
     3. If applicable, select a Type of Business from the dropdown. You can only assign each Type of Business to one group, and you cannot assign multiple types of business to the same group.
     4. To add members to the selected group, do one of the following:
        • Press the Add button to the left of the list.
        • With focus on the list, press [Insert] on your keyboard.

     To remove a user from the list, highlight the user and click the Delete button or press [Delete] on your keyboard.

     5. In the Add Users pop-up window, select the checkbox next to each user who should be added to the group.

     6. Click Finish or press [Enter].

     7. Click the Program Access tab.

     8. Choose an Area in the dropdown menu and click on a Sub-Area in the list.

     9. In the Permissions list, select or deselect the checkboxes to change the groups permissions. To grant access to all of the permissions for that Area and Sub-Area, click the Grant All link label above the Permissions list.

     10. Repeat steps h and i until all of the necessary permissions have been updated.
         
         To grant access to all areas of the program, click the Grant All link label to the right of the Areas dropdown menu.

   • Delete a Group

     1. Select the Group in the list.
     2. Do one of the following:
        • Click the Delete button to the left of the Group list.
        • Click File > Delete on the menubar.
        • Press [Delete] on your keyboard.
     3. You are prompted, "Do you wish to delete this record?" Click Yes.

   • Print a List of Groups

     1. To print a list of security groups, do one of the following:
        • Click the Print button to the left of the list.
        • Click Print > Listview on the options bar.
        • Click File > Print > Listview on the menubar.
     2. The Print window displays. Print this list as you would any other document.

   • Run the On Demand Security Group Detail Report

     This option enables you to view and print information for selected security groups or for all security groups in your system. If you require more advanced criteria filtering options than are available in the On Demand report, you should instead run the Security Group Detail report from the Reports/Marketing area.

     1. On the options bar or the menubar, click On Demand > Security Group Detail.
     2. The Security Group Detail window displays. Select the type(s) of data to include in the report:
        • Detail/Members: Include data from the Detail/Members tab in group detail (the group’s name and the names/usercodes of all members).
        • Program Access: Include data from the Program Access tab in group detail (a complete list of security permissions and whether they are granted to the group).
        • Bank Account Access: Include data from the Bank Account Access tab in User Configuration (a complete list of configured bank accounts and whether the group can access them in each applicable area of the system).
     3. In the Groups frame, select the All radio button if you want to view results for all security groups. If you want to view results for a selected group or groups, click the Selected radio button and do the following:
        1. Click the Add button to the left of the list.
        2. The Add Security Groups window displays. To filter the Available Groups that display, enter the desired criteria in the Search where bar and click Find.
        3. Select the appropriate group(s). To continue adding groups, click Add. When you are finished selecting groups, click Finish.
     4. Click Preview. The Print Preview screen displays.
        
        Click Page Setup to specify the print parameters or to change the printer to which the document should be sent. Fill this window in as you would for any other document.
        
        Change the Zoom percentage to change the size of the document on the screen for easier viewing.
        
        Click the Single Page View , Double Page View , and Multiple Page View buttons to specify the number of pages that should display on the screen.
        
        Use the First Page, Next Page, Previous Page, and Last Page buttons to scroll through the pages on the screen, or enter the desired page number in the field provided and press [Enter].
        
        Click the Print button to print the document. Your Print window displays. Print this as you would any other document.
        
        Click Close to exit the screen without printing the document.
