The Worksteps screen allows you to choose the steps for each workflow and the order in which the steps occur.
From Home Base, click Utilities.
On the Utility Manager screen, open the System Administrative folder and select Workflow Editor.
Click the arrow to continue.
In the Show section, click All Workflows to display all shared workflows, or My Workflows to display only the workflows you have created.
Select the appropriate workflow and click WorkSteps.
Current Workflow Steps
The Current Workflow Steps list on the right side of the screen lists the steps included in the workflow in the order in which they occur.
Note: This window is blank until you add steps. See Add Worksteps Tab.
To change the order of the workflow steps, select the step you want to move, and click the up arrow and down arrow buttons to move it to the desired position.
Note: You may also drag and drop a step into a new position.
Click Save Steps to save your work.
Click Restore Steps to revert to the previously saved steps. You cannot undo saved steps with this option.
The Current Workstep Properties frame allows you to modify the step currently highlighted in the Current Workflow Steps list:
Back Step: Move to this workstep when the user clicks Back.
Fail Step: Move to this workstep when the current workstep fails.
Note File: Link a file of additional information to individual worksteps for user reference. See Note File for instructions.
Use Dialog: If checked, an options dialog displays for this step when the Workflow Wizard runs.
Add Worksteps Tab
The Add Worksteps tab displays by default. To add a workstep, do the following:
Available Source Worksteps display in the top list. Click the Show radio buttons to display existing Libraries or Workflows in the list. (Libraries are groups of similar worksteps; for example, the Creators library contains worksteps that involve adding a new file to the system, and the Editors library contains worksteps that involve editing existing files. Workflows are groups of worksteps meant to be performed in the specified order.)
The Step Names and Prompts for the selected Library or Workflow display in the lower list. Select the step(s) you wish to add. To select multiple steps, press [Ctrl] while clicking. To select a range of steps, press [Shift] while clicking.
Click the Add button to add the steps to the Current Workflow Steps list. Use the Undo button to reverse your last action if necessary.
Edit Worksteps Tab
This tab displays the dialog associated with the selected workstep (or displays only a message if no dialog is associated).
Selected Option Properties: Set the next step depending upon the selected option in the dialog.
For example, if the dialog prompts, "Do you wish to enter a new policy for this client now?" you may click Yes on the dialog and then select for the Next Step NEXT. Then you may click No on the dialog and then select TERMINATE to end the workflow if that option is selected.
Defaults: This button is enabled only when the selected workstep generates an activity or formletter. Click Defaults to associate a specific activity or formletter code to the workstep. Once defined, when the Associate Formletter workstep is reached in the workflow, the formletter list defaults to the code defined here. When the Add an Activity workstep is reached in the workflow, the Activity Detail displays the activity code defined here.
If a default has been defined, it appears in the Current Default frame on the Default Value screen.
To add or change a default, click Change, and select a new code.
To remove the default for the workstep in the current workflow only, click Clear.
Click Exit to save your changes and close the screen.
Validation Details Tab
When there is a problem with validity, the erroneously placed step displays in red in the Current Workflow Steps list.
Click the Validation Details tab to view the validation results.
When a workflow is not valid, a warning displays explaining what needs to be corrected in order for it to work properly. Often the problem is the order of the steps. For example, if the first step in a workflow is to add a transaction and it occurs before the step to add a customer, the workflow will not be valid because the customer must be added first.
Make the necessary changes (in the example above you would change the order of the steps), and the validity is again checked. The message on the tab changes to reflect your changes.
