Policy List
Customer and prospect policy information is managed through the Policy List. Use the following steps to access the Policy List.
- At Home Base, click Clients & Files.
- Select Customers or Prospects from the dropdown menu above the list.
- In the list, select the client whose policies you want to view and click the Policy List
button.

The code and name of the selected client display at the top of the screen.
Navigate between the following tabs:
- Policy: Click to display current policies. Current policies are sorted by Policy Risk Number, Type, Policy Number, Expiration Date, Issuing Insurer, Introducer, Department, Bill Mode, Premium, Balance, and Status.
- History: Click to display policies saved to the Policy History file. History policies are sorted By #, By Oldest Eff Till date, or By Newest Eff Till date. The default Sort History selection By # changes when a different Sort History selection is made. For more information on the History tab, see History Applications.
- Filter: Click to view a limited policy list based on criteria you define. See Filter Customer Policy List.
Policies may be color-coded so that expired policies display in red in the policy list, and Expired displays in the sidebar summary. See Enable Color Code Policies.
A summary of the selected policy appears in the sidebar on the right side of the screen. The fields included in the summary differ depending on whether it is a Current or History policy. If there are attachments associated to a policy, an attachment button
displays in the sidebar. To view the list of attachments, double click the Attachment button or select Display Attached Items from the Options menu.
Click Previous or Next to view the Policy List for the previous or next customer on the Customers screen.
Click Detail to display the Policy Detail for the selected policy.
Click Options to view the options available for policies. Different options are available for current and history policies.
Click Cancel to return to the Customers screen.
Prospect Policy List
The Client Code and Name display at the top of the screen. Policies are sorted by Policy Risk Number, Type, Expiration Date, Insurer, Introducer, Agent, Policy Status, and Premium.
Click Previous or Next to view the Policy List for the previous or next prospect on the Prospects screen.
Click Detail to display the Prospect Policy Detail screen for the highlighted policy.
Click Options to view the options available for prospect policies.
Click Cancel to return to the Prospects screen.
Policy Detail
Use the following steps to access the Policy Detail from Home Base.
- Click Clients & Files.
- From the dropdown menu above the list, select Customers.
- In the list, select the customer whose policy you want to view and click the Policies button.
- On the Policy List screen, click Detail.
Enter or revise the policy information as desired.
Note: The policy risk counter in the upper right corner of the New Policy Detail screen indicates the policy number, risk number, and total number of risks for the current client. For example, 5-003 [4] indicates that the record represents the fifth policy, the third risk, and a total of four risks. This field cannot be updated on this screen.
- Type: Policy type
- Status: Policy status (defaults to New)
- CSR (A/H): Customer Service Representative (defaults from Client Detail)
- Dept: Department (defaults based on policy type)
- 1st Written: Date policy was first written with the brokerage (used to run reports for renewal retention)
- Note: Miscellaneous note (applicable to this policy only, e.g., financed with ABCD, Inc.)
- Turn Off Policy Download: If this checkbox is selected, the existing policy data cannot be overwritten by Download.
- Policy: Policy number
- Eff: Policy effective date
- Exp: Policy expiration date
- Pay Mode: Policy pay mode
- Billing: Billing mode (Client, Direct, Agent, Other Interest)
- IIns: Issuing insurer
- BIns: Billing insurer
- %: Brokerage commission percentage

- % = Brokerage to receive a percentage of gross premium
- £ = Brokerage to receive a flat pound amount of commission
- Comm: Brokerage commission amount
- 1,2,3: Introducer codes
- %: Introducer commission percentage

- % = introducer to receive a percentage of gross premium
- @ = introducer to receive a percentage of agency's commission
- £ = introducer to receive a flat pound amount of commission
- Comm: Introducer commission amount
- OI: Other Interest reference
- OI#: Other Interest loan number
- Ag: Agent code (appears when billing mode is Agent)
- Ag%: Percentage of gross premium to be paid to agent (appears when billing mode is Agent)
- Prem: Gross commissionable premium
- Bal: Policy balance (automatically calculated)
- DBal: Automatically calculated amount of premium for which brokerage is due commission from insurer (appears when billing mode is Direct)
Click OK to save all additions or revisions to the Policy Detail.
Click Options to view the options available from the Policy Detail.
Click Cancel to abort editing or viewing Policy Detail and return to the Policy List.
