Global Holders

The Global Holders feature must be activated in order for your brokerage to create a Global Holder list. This list contains commonly used certificate Holders that can easily be selected when issuing a certificate. Once you select a Global Holder for use on a certificate, a copy of the Global Holder record is saved to the insured's Holder list. Global Holders are available for use with any insured.

To access the Global Holders area:

Add a Global Holder

  1. Click the Add button.
  2. Enter the holder's Name.
  3. Enter contact information in the Address, City, State/Province, Zip/Postal Code, Country, Primary Phone, and Secondary Phone fields.
  4. Select the Do they Receive Renewals checkbox if the holder should be included in the renewal process.

    Note: It is recommended that you select this checkbox at the Global Holder level, as it can be unchecked when using the Global Holder on an individual insured.
  5. If you use the Mail feature, optionally check Send to Holder via Mail.
  6. You can enter delivery information for up to three recipients. For each recipient, fill out the following information:
    1. Enter an Attention line.
    2. Enter a Subject and Message.
    3. If faxing is enabled in your system, optionally select Fax the Cert. If you do so, select Include a Cover Page. Enter a fax number.
    4. Select Email the Cert. If you do so, enter an email address.
    5. Select Email Renewal Cert to send renewal certificates to the recipient via email.
    6. Select Send via Mail. If you do so, enter the name and address information to be used when mailing the certificate.
  7. Click Save to add the Holder, or click Cancel to discard changes.

Edit a Global Holder

  1. Locate the appropriate Holder.
  2. Click any of the data listed for the Holder (the name, any address information, or the number of associated Holders) to open the Holder detail.
  3. Click Edit.
  4. Modify the information as necessary. See the instructions above under Add a Global Holder for more information.
  5. Before committing your changes, select Update all Holders attached to this master if all of the copied Holder records on individual insureds' Holder lists should be updated to reflect these modifications. If these changes should be applied to the Global Holder record only, do not select this checkbox.

    If you select this checkbox, the Update Delivery Information checkbox is also enabled. This means that modifications to the Delivery Information fields will also update the delivery information on the Holder record for each individual insured. If this is not selected, all changes other than the Delivery Information are applied to the insured-level Holders but the Delivery Information for each insured remains intact.
  6. Click Save to apply your changes or Cancel to discard them.

Delete a Global Holder

  1. Locate the appropriate Holder.
  2. Click any of the data listed for the Holder (the name, any address information, or the count) to open the Holder detail.
  3. Click Delete.
  4. You are prompted, "Are you sure you wish to delete this Global Holder?" Click OK.

Import Global Holders

If you have Global Holder data saved in an external file and would like to import it into CSR24, use the import feature to add its contents to your Global Holder list. You can use this workflow to update existing records or add new records.

The file must be saved as an Excel spreadsheet or a tab delimited text file.

You have the option of downloading an import template that you can fill out. (See instructions below.)

To import Global Holders:

  1. Click the import button at the top of the list.
  2. If you wish to download a template, click the Help button, click the appropriate link, and fill out and save the template.
  3. Click the Browse button to locate the appropriate file.
  4. Optionally select Update all Holders attached to imported Global masters. If this is selected, any changes that the import applies to a Global Holder record will also be applied to each copy of the record on an individual insured's Holder list created by using this Global Holder on a certificate. If it is not selected, updates will be applied to the Global Holder records only.

    If you select this checkbox, the Update Delivery Information checkbox is also enabled. This means that modifications to the Delivery Information fields will also update the delivery information on the Holder record for each individual insured. If this is not selected, all changes other than the Delivery Information are applied to the insured-level Holders but the Delivery Information for each insured remains intact.
  5. Click Import.
  6. Once the import is complete, the number of records added and updated displays on the screen.

Export Global Holders

You can export the contents of your Global Holder list as an Excel spreadsheet. This might be helpful, for example, if you need to make modifications to a number of records. Rather than accessing the detail for each record, you can export your Global Holder list, make the changes in Excel, and then import your updated list using the instructions above.

  1. Click Export.
  2. You are prompted to open or save the spreadsheet. Select the appropriate option to complete the workflow.
