Holders

To access an insured's Holder list:

  1. Locate the desired account.
  2. Click Holders in the navigation panel.

From here you can add a Holder, edit a Holder, copy a Holder, delete a Holder, modify Holder attachments, import Holders, and export Holders.

Add a Holder

  1. Click the Add button at the top of the Holder list.
  2. If this Holder is currently saved in the Global Holder list and you are saving the record at the insured level, click the None link next to the Global Holder field.
    1. To narrow the list of global holders that display, enter part of the Name, Address, City, ST/Prov., or Zip/postal Code. Click Find or press the [Enter] key.
    2. Select the appropriate Holder from the lookup. Some of the Holder information defaults below based on what is entered in the global Holder detail.
  3. Enter the Holder Number. This is an optional brokerage-defined identifier.
  4. Select or enter the Group Code. These are maintained in the Library area if your organization uses the Group Codes feature.
  5. Enter contact information in the Name, Address, City, State/Province, Zip/Postal Code, Country, Primary Phone, and Secondary Phone fields.
  6. Enter a Loan Number if applicable.
  7. If this Holder is assigned to a specific location/named insured, click the None link next to the Assigned Location field to select from a list of locations entered for this insured.
    1. To narrow the list of locations, enter part of the Description, Address, or City and click Find.
    2. Click to select the appropriate location.
  8. If you choose a location/named insured, optionally check Use Assigned location in place of insured information on certificates?
  9. Select the Add Additional Insured Name and Address to Certificate checkbox if an additional insured’s name rather than the holder’s name should print on CSIO certificates. Selecting this checkbox displays the Additional Insured section. Fill in the Name, Address, City, State/Province, Zip/Postal Code and Nature of Interest for the additional insured.
  10. Select the Print Job Location Summary checkbox if you want to print the Job Location Summary. When the checkbox is selected, you can enter up to 100 in the Job Location Summary field. This information displays at the beginning of the Description of Operations.
  11. Fill in the remaining fields in the Holder Information section.
  12. In the Nature of Interest section:
    1. Select the Mortgagee and/or Loss Payee checkbox if applicable. You can also enter up to two Other Interest descriptions. Click the Select link to the right of either Other Interest field to select from a list of Nature of Interest values.
    2. Enter a Date Interest Ends if this holder is no longer to be used after a certain date.
    3. Enter an Additional Named Insured. This information will default into the Additional Insured Name and Mailing Address section on Canadian certificates.
    4. Check any of the following that apply (these fields are informational only and have no implication in the system):
      • Are they a Payor?
      • Do they require a policy?
      • Do they require billing info?
  13. In the Certificate Information frame, check any of the following that apply:
  14. Enter the number of Cancellation Days.
  15. Enter any holder-specific location or description information in the Location/Description field. You can click the Lookup button to select from a list of locations entered for this insured. Once you have checked all the appropriate locations on the Select Property lookup (you can also click the Sel All checkbox at the top of the window to add all locations listed) click Add Selected. Click Cancel to close the window without adding any locations.
  16. Optionally, select Lock Holder Info in Self-Service. This option prevents insureds from performing the following actions in the Self-Service Portal and MobileInsured: editing the holder’s name or address, adding or copying the holder, updating the holder for renewal, and revising previously issued certificates.
  17. Enter any holder-specific Description of Operations text in the Additional Description of Ops to be Included on Certificate field. You can click the Lookup button to select from description of operations text saved in the text library for this insured or in your brokerage's Library.
  18. Select the certificate template(s) that can be used to issue a certificate for this Holder. Press [Ctrl] while clicking to select multiple certificates or [Shift] to select a range of certificates.
  19. For each line of business listed, select Yes or No in the Addl Insr? and Subr Wvd? columns, or leave the fields blank. This selection determines what will default on certificates for templates using the ACORD 25 and ACORD 30 that have the Enable holder level AI & Subr WVD status checkbox selected and Y selected for the included lines of business. See Certificate Templates for more information.
  20. Optionally check Send to Certificate Holder via Mail. This is available only if your organization uses the Mail feature. It means that certificates for this Holder will be added to the Mail Spool so that they can be printed and mailed to the address above by a third-party system.
  21. Enter delivery information for up to three recipients. (If you do not enter recipient information and did not check Send to Certificate Holder via Mail in the prior step, certificates for this Holder can only be viewed/printed.)
  22. Click Save to save the Holder or Cancel to discard your changes.

Edit a Holder

  1. Locate the desired Holder.
  2. Click any of the information listed for the Holder (other than the number in the Attachments column) to open Holder detail.
  3. Click Edit.
  4. Make any necessary changes to the Holder detail. (See instructions above under Add a Holder for more information.)
  5. Click Save to apply your changes or Cancel to discard them.

Copy a Holder

Use these steps to save a copy of a Holder record to a different insured's account.

  1. Locate the desired Holder.
  2. Click any of the information listed for the Holder (other than the number in the Attachments column) to open Holder detail.
  3. Click Copy.
  4. Select the appropriate insured in the list.
  5. The Holder record is automatically copied to the selected insured's account. Note that the Holder detail that displays after this action is completed is for the record on the original account rather than the copy. You will need to access the other insured's account in order to make changes to the copied record.

Delete a Holder

You are unable to delete a Holder if any certificates have been issued for this Holder.

  1. Locate the desired Holder.
  2. Click any of the information listed for the Holder (other than the number in the Attachments column) to open Holder detail.
  3. Click Delete.
  4. You are prompted, "Are you sure you want to delete?" Click OK.

Modify Holder Attachments

  1. Locate the desired Holder.
  2. Click the number that displays in the Attachments column.
  3. A list of attachments that have been uploaded into your CSR24 system displays. The Attach? checkbox is selected next to each attachment that will be included with certificates issued for this Holder. Make any necessary changes to the selections in the Attach? column. You can also enter numbers in the Order column to determine the order in which multiple attachments print.

    To preview any of the attachments in the list, click the View link. The attachment opens in a new tab, enabling you to review and print it.
  4. Click Save to apply changes made to the Holder attachments or Cancel to return to the Holder list without saving changes.

Import Holders

If you have Holder data saved in an external file and would like to import it into CSR24, use the import feature to add its contents to the Cert Holders / AOIs list. You can use this workflow to update existing records or add new records. The Import Holders feature is available only if it has been enabled for your system.

The file must be saved as an Excel spreadsheet or a tab delimited text file, and it must contain the following columns, in this exact order.

You have the option of downloading an import template that you can fill out. (See instructions below.)

To import Holders:

  1. Click the Import button at the top of the list.
  2. If you wish to download a template, click the Help button, click the link to download the standard or advanced template, and fill out and save the template. (The advanced template includes more detail columns than the standard template.) You can also click Next on this screen to view a list of the columns required and their character limits.
  3. Click the Choose File button to locate the appropriate file.
  4. Optionally check Keep Embedded Carriage Returns. This means that indentation, line breaks, and line spacing will be carried over into CSR24 exactly as they were in the import file.
  5. Select the certificate templates that can be used to issue certificates for these Holders. Press [Ctrl] while clicking to select multiple templates or [Shift] to select a range of templates. (These templates will be added in addition to any templates listed in the Templates column in the import file; they will not overwrite the information.)
  6. To assign these Holders to a location, click the Select Location link next to the Assign to Location field. Click the desired location.
  7. If you have intentionally deleted a form from the Templates column in the Microsoft Excel file because it should no longer be sent to the holder in question, select the Remove Unlisted Templates checkbox.
  8. Optionally, select the following checkboxes to populate Yes by default in the corresponding spreadsheet columns if they are missing or blank.
    1. Default Send Email/Fax to Yes: defaults Yes in the SendEmail and SendFax columns for recipients with email and/or fax information on record.
    2. Default Email Renewal Cert to Yes: defaults Yes in the Email Rewewal Cert column.
    3. Default Lock Holder Info in Self-Service to Yes: defaults Yes in the Lock Holder Info in Self-Service column.
  9. Click Import. The import process validates the data. Use the Import Defaults option in Configure to select required fields.
  10. The import Status screen displays, indicating the number of records processed.

Export Holders

You can export the contents of your Holders / AOIs list as an Excel spreadsheet. This might be helpful, for example, if you need to make modifications to a number of records. Rather than accessing the detail for each record, you can export your Holder list, make the changes in Excel, and then import your updated list using the instructions above.

  1. Click Export.
  2. To filter the Holders included in the export spreadsheet:
    1. For the Status, select Active, Inactive, or All.
    2. For the Cert Template Status, select Active, Inactive, or All.
    3. To filter the exported list, optionally enter a Group Code.
    4. If your brokerage has the Named Insured feature activated, you can specify a Named, Insured, Named insured Address, and/or Named Insured Location Number.
    5. Optionally select a Cert Template.
    6. If you would like to modify the columns that are included in the exported file, click Advanced from the Option bar.
    7. In the To Print area, deselect any checkboxes for fields you do not wish to export.
  3. Click Export.
  4. A prompt displays, asking whether you wish to open or save the document. Select the appropriate option to complete the workflow.
