Close-Day Dunning Letter Setup
Before running dunning letters, define the age categories for each dunning letter as well as the amount a customer must be past due to be sent a letter during Close-Day. During Close-Day, TAM processes and prints the appropriate dunning letter for all customers with accounts past due within the age ranges you define.
- At Home Base, click Utilities.
- On the Utility Manager screen, open the General folder in the treeview.
- Open the Document Maintenance folder, and then click Dunning Letter Setup.
- Click the arrow
to continue.
- Select the Set Up Close-Day Dunning Letter Criteria option.
- Assign a range of days for the first dunning letter, (0 to 30, for example). Enter the beginning number in the first space, and the end of the range in the second space.
All customers with accounts past due within the range you define will be sent this dunning letter during the Close-Day Procedure.
- Enter the range of days for the second dunning letter, (31 to 60, for example). TAM defaults the first number based on the number entered in the previous step.
TAM automatically calculates the final age category based on the range you entered in the previous step. This number determines the number of days over which the customer's account must be past due to receive the third dunning letter (over 60 days old, for example).
- Select the Balance Amount a customer must be past due to receive a letter during Close-Day. If you choose All Balances, all customers with past-due balances will receive a letter during Close-Day.
If you choose Selected Balances, enter the minimum balance amount for which TAM should search. All customers with a past-due balance equal to or greater than the amount entered will receive a dunning letter during Close-Day.
- Choose whether to include or exclude No Statement Customers.
- Click OK.
- Click Yes to confirm the dunning letter setup update.
- Click OK to close the confirmation screen.
- Click Cancel to return to the Utility List, or select Exit from the File menu to close Utility Manager.
