Disbursements
The Disbursements program provides options to enter, update, and track cash disbursements and checkbook balances. Cash disbursements are made in the form of printed checks or electronic fund transfers that do not require checks to be printed. Any item that represents a decrease in a cash journal account balance is a cash disbursement.
Note: Cash journals are specialized accounts in which cash receipts or disbursements are recorded. Not all asset accounts are treated as cash journal accounts. For example, Accounts Receivables is an asset account but is not treated as a cash journal. The Operating Account is an example of an asset account that is installed as a cash journal. You can define cash journals through the Accounting option on the Utility Manager Menu.
Use the options to enter, update, view, and void cash disbursements. A special option is also provided for transferring funds between cash accounts. In addition, options are provided to print checks which you have recorded as cash disbursements.
The following tasks are performed through Disbursements.
- Enter Cash Disbursements: Enter cash disbursements from cash journal accounts in the form of checks or electronic fund transfers. Any item that represents a cash withdrawal from a bank account is a cash disbursement.
- Update Cash Disbursements: Correct any errors made when entering miscellaneous cash disbursements and checks . TAM does not let you file an out-of-balance entry. Errors do occur, however, such as when you apply the entry against the wrong account or type the wrong description or schedule for an entry.
- View a Cash Disbursement: Revise previously filed cash disbursements. View a single disbursement at a time as needed. You may also view attached accounting notes.
- Transfer of Funds: Move money from one cash account to another via check or miscellaneous withdrawal.
- Print Checks : Print checks you have entered.
- Void a Disbursement: Void checks (including one-time checks ) and miscellaneous disbursements from any accounting month. Once a disbursement is voided, it is still listed on Journal Entry Report and Status of Accounts Report to provide an audit trail to the entry.
