Account Views 

Use the Account Views option to view a complete summary of individual customer transactions.

  1. From Home Base, click Clients & Files.

  2. Select a client and click Invoices on the button bar.

    Note: The Account Views options are also available from Transaction Lists for brokers, lienholders, and finance companies, though the Complete View option is not available for finance companies.

  3. The Transaction List screen displays. Click the Options button. Select Account Views from the menu that displays.

    The Account Views window displays, providing you with the following options:

Date Balance

  1. Enter the date and click OK.
  2. The Code, Description, and Amount for the last transaction entered for the account as of that date display, along with the resulting account Balance.
  3. Click Cancel to return to the Account Views screen.

Account Aging

  1. Enter the date and click OK
  2. The balance of items entered but Not Due, as well as the balance of items that became due in the past 0-30, 31-60, 61-90, and Over 90 days displays below, along with the Total Balance and the Date and Amount of the last payment made.
  3. Click Cancel to return to the Account Views screen.

View a Payment

  1. Select the payment to view.
  2. The items the payment was applied to, and the amount applied to each item, display below. If any of the payment was not applied, that amount displays in the Not Applied column.
  3. Click Print to print the payment. Click Cancel to return to the Account Views screen.

Complete View

On the Complete View screen, select the radio buttons to view All Items, Open Items, or Closed Items in the list.

Enter a date to filter the list by date, or leave this field blank to display all items on record for this account.

Click Print to print the items in the list.

Double click on an item, or click Detail with the item selected, to display the Complete View Detail screen.

Click a radio button to select one of the following view modes. See Complete View Detail Screen for more information.

Invoice Utility

Select the Update Invoice, View Invoice, or Print Invoice radio button, based on which workflow you want to perform.

Update Invoice

This option allows you to modify the invoice page break option or to add a new item to the invoice. You can then print the updated invoice.

  1. To locate the invoice, click the Invoice Number or Item Number radio button and double click in the field to the right to select from a list of available options.
  2. The customer Code and Name, along with the Invoice Number, Invoice Balance, and Page Break option, display in the Invoice frame. You may change the Page Break option if desired:
  3. To add items to an invoice, do one of the following:
  4. To print the updated invoice, click Print. Refer to the Print Invoices and Transaction History section for more information.
  5. Click Close to return to the Account Views screen.

View Invoice

  1. To locate the invoice, click the Invoice Number or Item Number radio button and double click in the field to the right to select from a list of available options.
  2. The customer Code and Name, along with the Invoice Number, Invoice Balance, and Page Break option, display in the Invoice frame.
  3. Click Close to return to the Account Views screen.

Print Invoice

  1. To locate the invoice, click the Invoice Number or Item Number radio button and double click in the field to the right to select from a list of available options.
  2. The customer Code and Name, along with the Invoice Number, Invoice Balance, and Page Break option, display in the Invoice frame.
  3. To print the invoice, click Print. Refer to the Print Invoices and Transaction History section for more information. Click Close to return to the Account Views screen.

Invoice Search

View transaction based on invoice number. Enter the Invoice Number and click OK. The Invoice Date and Customer display below, as well as the Item Number, Date, and Amount for each item included on the invoice.

Note: You can use the Invoice Search to locate invoices for customers other than the one currently selected.

Transaction Date Range

Select to view Open Items or All Items. Enter the dates in the From and To fields and click OK.

The Opening Balance and Ending Balance for this date range, along with the Date, Trans type, and Description for all transactions within the date range, display in the list below. Click Print to print the list, or Cancel to return to the Account Views screen.

Postdated Cheques

At the top of the View Postdated Cheques screen, a list of all postdated cheque lots entered for this customer displays. Select a lot in the list to view its information.

The Client and Lot Description for the selected lot display to the right of the Lot list.

All cheques included in the selected lot are listed below, with information displaying in the following columns:

The lot totals for the Amount, Premium, Tax, Svc Chg, Other, and Not Applied columns display beneath the list, along with the Grand Total amount for all postdated cheques entered for this customer and the number of Total Cheques.

When you are finished reviewing information, click Cancel to return to the Account Views screen.
