Accounts

In the Accounts area, you can access all entities who do business with your organization and perform a wide variety of workflows for them. For many users, most day-to-day activity in the system takes place in Accounts. The Locate screen enables you to add new accounts to the system or search and access existing accounts.

To access Accounts from the Home screen, do one of the following:

• Click Accounts on the Navigation Panel.
• Click Areas > Accounts on the menubar.
• Click the down arrow next to Home on the options bar and select Accounts.
• Click the Locate button on the options bar.

To access Accounts from another area of the program, do one of the following:

• Click Home > Accounts on the menubar.
• Click the down arrow next to Home on the options bar and select Accounts.
• Click the Locate button on the options bar.

• Options Bar

  

  The following options bar options are available in the Account Detail area. The options vary a bit depending on the entity chosen in the Locate Account dropdown menu in the Locate Criteria frame.

  • Home: The Home button displays with an arrow next to it. Clicking the Home button opens the Home screen; clicking the arrow provides a dropdown menu containing the following options:

  • Locate: The Locate button displays with an arrow next to it. Click the Locate button to open the Locate screen, where you can search for accounts. Click the arrow to access a dropdown menu of the last 20 accounts you opened. The most recent accessed account displays first. Open accounts are highlighted in the menu, and the current account displays a check mark. Click an account to open it.
  • Actions: The Actions button does not have a default arrow, but when you hover over the button, an arrow displays with various options dependent on your current screen. You must make a selection from the presented options in the dropdown menu; you cannot make a selection by clicking the Actions button.

  Primary contact information for the selected entity displays in the bottom left corner of the screen.
  
  Click the Additional tab for information about other phone numbers, email addresses, etc. associated with the selected account.

  

• Locate Criteria

  Use the fields in the Locate Criteria area to find the correct entity.

  

  Under Locate account, select one of the following:

  • Broker
  • Client
  • Company
  • Employee
  • Finance Company
  • Other Interest
  • Policy #
  • Relationship
  • Street Address
  • Vendor

  In the Locate by dropdown, select the method with which you wish to look up the desired entity. The options in this menu vary, depending on the option chosen in the Locate Account dropdown menu.

  • Account/Business Name (accent-insensitive)
  • Claims: Additional Parties (available for Client searches only)
  • Date of Loss (available for Client searches only)
  • Email Address (accent-insensitive)
  • Insurer Claim # (available for Client searches only)
  • Internal Claim # (available for Client searches only)
  • Invoice #
  • Last name, First Name (accent-insensitive)
  • Line ID (available for Client searches only)
  • Loan #
  • Lookup Code
  • NAIC Code (available for Company searches only)
  • National Producer Number (available for Broker and Employee searches only)
  • Phone Number
  • Policy # (available for Client searches only)
  • Prior Account ID

  • Street Address (accent-insensitive)

  Note: Search criteria marked "accent-insensitive" in the list above return search results containing both accented and unaccented versions of the characters entered in your search term. For example, searching for "Emile" or "Lea" using these criteria also returns results for "Émile" or "Léa." All other search criteria, however, are accent-sensitive, meaning that accented and unaccented versions of the same character are treated as unique.

  Checkboxes display to the right of the dropdown menus. The available checkboxes vary depending on the option chosen in the Locate account dropdown menu.

  • Insureds (available only if Client is selected in the Locate account dropdown)
  • Prospects (available only if Client is selected in the Locate account dropdown)
  • Active
  • Inactive
  • Additional interest (available only if Other Interest is selected in the Locate account dropdown)
  • Bill to (available only if Other Interest is selected in the Locate account dropdown)
  • Certificate holder (available only if Other Interest is selected in the Locate account dropdown)

  Enter at least one letter or number in the field to locate the desired entity, and then click Locate. You can enter more characters for a more precise search. Apostrophes are allowed in the search field.

• Results List

  Results from your entity search display in the Results list. An arrow appears in the heading of the column by which the list is sorted. To sort the list by a different column, click the column heading by which you wish to sort the list. Click once to sort in ascending order, or twice to sort in descending order. An up arrow in the column heading indicates that the list is sorted in ascending order. A down arrow indicates that the list is sorted in descending order.

  In most cases, double-clicking a search result takes you to the entity’s Account Detail. However, searches for some of the Client criteria allow you to open policy detail, marketing submission detail, or claim detail for the item that matches your search term by double clicking a result. You can always open the client’s Account Detail by selecting it from the navigation panel (rather than double clicking the search result).

  You can attach files or email messages directly onto entities in the list. Just select the account, then drag and drop the attachment into the list. See Add an Attachment for details.

• Quicklinks

  If your system administrator has Quicklinks set up for you, they will display in this area.

  To view the information, click on the appropriate Quicklink to expand it.

  

  To view the detail for an item in the list (for example, to view the detail for a specific policy), double click on the correct line in the list.
  
  Note: Double clicking on the name of an employee creates an email with the selected employee's name in the To field. Fill in the fields and send the email as usual.
